Role Overview

The Office Administrator will help keep day-to-day office activity running smoothly by coordinating procedures, supporting internal teams, and maintaining efficient administrative systems. This is an onsite position in Mississauga, Ontario.

Key Responsibilities

  • Enter receiving documents, invoices, and credit memos into the ERP system.
  • Check purchase orders and active sales orders for accuracy and completeness.
  • Handle customer order processing as needed.
  • Print vendor paperwork and reconcile it against matching purchase orders.
  • Prepare border documentation and transfer paperwork.
  • Update inventory records by processing stock adjustments.
  • Resolve billing and invoicing disagreements.
  • Process customer returns.
  • Keep filing systems organized, current, and easy to use.
  • Support the Accounts Payable and Credit teams with administrative tasks.
  • Provide backup support to the Inside Sales Support team.
  • Carry out clerical work such as document preparation, record keeping, faxing, and photocopying.
  • Monitor office supply levels and restock materials as required.
  • Answer incoming phone calls and direct them appropriately.
  • Assist with administrative operations such as mail sorting and distribution.
  • Help maintain shared office areas and resources to support an efficient workplace.
  • Take on additional related duties when needed.

  • Prior experience in office administration.
  • Strong working knowledge of Outlook, Excel, and Word.
  • Comfort learning and adapting to new software and computer systems.
  • Clear and effective communication skills.
  • A dependable, enthusiastic, and proactive attitude.
  • Strong focus, accuracy, and attention to detail when entering information.
  • Good organizational ability and the capacity to manage multiple tasks.
  • Ability to work well both independently and as part of a team.
  • Strong multitasking skills.

Compensation and Benefits

The salary range for this role is CAD 50,000 to CAD 57,000 per year.
