Role Overview
This position is for a highly organized and proactive coordinator to help drive new product launches in a fast-moving environment. Working from the NPD function, the role supports planning, timeline management, communication, and follow-through across multiple teams so projects progress smoothly from idea stage to launch.
The role partners closely with the NPD Assistant Manager and cross-functional stakeholders to manage daily project activity, maintain visibility on deliverables, and keep work aligned across departments. It is well suited to someone detail-focused, collaborative, and interested in building a career in project management and product launch coordination within beauty.
Project Coordination and Execution
- Help manage the daily coordination of new product launches across assigned categories, keeping schedules and deliverables accurately monitored.
- Update and maintain project plans in Asana, the company’s internal project management system, so tasks, milestones, and dependencies stay current.
- Chase updates from internal teams and external vendors to make sure actions are completed within agreed timelines.
- Support projects as they move through the NPD stages of Exploration, Development, and Execution in line with the company’s standard process.
- Assist with launch feasibility reviews and planning by collecting the required information and timing details.
- Organize internal meetings, prepare agendas, record minutes, and track action items through to closure.
- Keep an eye on project status and escalate delays, risks, or missing inputs to the Line Manager in a timely way.
- Spot potential issues or blockers early and propose possible solutions or next steps for the Line Manager’s review.
Cross-Functional and Supplier Coordination
- Work with teams across Product Development, Packaging, Quality, Purchasing, Regulatory, Finance, Design, Marketing, S&OP, Master Data, Logistics, and Regional Markets.
- Help coordinate communication with suppliers and contract manufacturers to support on-time delivery of project milestones.
- Collect and organize key information such as BOMs, product specifications, forecasts, production schedules, and shipping updates.
- Support Demand Planning and S&OP teams with forecast monitoring and purchase order coordination.
- Maintain project trackers and documentation accurately and consistently across the required platforms.
Reporting, Documentation, and Communication
- Prepare project summaries, status reports, presentations, and updates for internal stakeholders.
- Assist in creating launch review packs and leadership-facing updates.
- Track risks, changes, and action items, making sure follow-up and documentation are completed properly.
- Respond to routine project questions from internal and external contacts in a prompt and professional manner.
- Draft clear emails and communication materials with support and direction from the Line Manager when needed.
Process Improvement and Operational Support
- Support efforts to standardize processes, templates, trackers, and project documentation.
- Help maintain SOPs and document updated ways of working.
- Contribute to efficiency and automation initiatives by identifying bottlenecks and suggesting improvements.
- Take part in post-launch reviews and capture lessons learned and future improvement actions.
- Provide broader operational and administrative support to the NPD team as required.
Requirements
- Between 1 and 3 years of experience in project coordination, operations, supply chain, product development, or a related area, ideally in beauty, FMCG, or another fast-paced setting.
- A bachelor’s degree in Project Management, Operations Management, Business Administration, Industrial Engineering, Manufacturing Engineering, Chemical Engineering, or a similar field.
- Strong planning and time-management abilities, with a keen eye for detail.
- Comfort working across several priorities at once in a busy, fast-changing environment.
- Good communication and teamwork skills, with a collaborative approach.
- Confidence in coordinating with multiple stakeholders and functions.
- A proactive, solution-focused mindset and a willingness to learn and develop.
- Working knowledge of Microsoft Office, especially Excel and PowerPoint.
- Familiarity with project management tools, ideally something similar to Asana.
- Fluency in English.
