About the Role
Join the ECMM Customer Care team as a Medical Review Officer Assistant, an essential position focused on ensuring workplace safety through accurate review, data entry, monitoring, and reporting of drug, alcohol, and occupational health test results. This role supports compliance with regulatory standards and assists Medical Review Officers by managing communication among laboratories, collection sites, clients, and internal teams.
Key Responsibilities
- Review, enter, and track negative and non-negative laboratory results for drug and alcohol testing, ensuring information matches custody and control forms.
- Assist Medical Review Officers by coordinating split specimen tests, isomer tests, and arranging interviews with donors when required.
- Manage occupational health testing data, verifying consistency with requisitions, medical forms, and reviewing physician documentation.
- Maintain turnaround time standards by monitoring documentation receipt, sample status, and results delivery; escalate delays appropriately.
- Organize and electronically attach completed occupational health files for physician review.
- Resolve daily issues with service providers and clients or escalate concerns following established protocols.
- Respond to inquiries from customers and examinees regarding testing procedures, timelines, and results via phone and email.
- Review documentation for errors requiring correction and coordinate corrective actions with service providers and laboratories.
- Follow regulatory guidelines including DOT regulations, Canadian Model Best Practices, and specimen collection procedures to ensure accuracy.
- Adhere to client and departmental reporting requirements for drug and alcohol test results; report occupational health results and corrective actions as directed.
- Manage department communications through voicemail and email promptly and appropriately.
- Prepare necessary documentation for Medical Review Officers and physicians.
- Provide administrative support such as file maintenance, appointment scheduling, and assisting occupational health teams as assigned.
Qualifications and Skills
- High school diploma with computer and data entry proficiency.
- Bilingual skills considered an advantage.
- Flexibility to accommodate variable hours and occasional weekend work across time zones.
- Ability to work independently with strong judgment and professionalism.
- Excellent organizational, planning, and prioritization skills to meet workload demands accurately and on time.
- Highly motivated, adaptable to change, and capable of performing effectively in a fast-paced, high-pressure environment.
- Proficient in Microsoft Office and able to quickly learn new software applications.
- Strong verbal and written communication skills in English, including good spelling.
- Excellent interpersonal abilities, demonstrating tact and diplomacy when interacting with internal and external stakeholders.
Additional Information
- Permanent full-time role, benefits eligible.
- Standard work schedule is Monday to Friday, 8:00 am to 4:30 pm, with on-call rotation and overtime as needed.
- Work location is on-site at 101 Ilsley Avenue, Suite 1, Dartmouth, Nova Scotia.
- Operates within the Collection department.
