Role Overview
Whitney Oaks Care Center in Carmichael, CA is hiring a detail-focused Medical Records Director to oversee resident record management and documentation compliance in a skilled nursing environment. This position plays a key part in protecting the accuracy, confidentiality, and reliability of health records while supporting clinical staff, compliance efforts, and quality resident care.
The ideal candidate brings experience in health information management, medical records, or long-term care, along with a strong commitment to maintaining documentation standards and regulatory readiness.
Compensation and Schedule
Pay is $32.00 to $36.00 per hour, depending on experience. This is a full-time position with a Monday through Friday schedule.
Key Duties
- Oversee the creation, upkeep, storage, and long-term archiving of resident medical records.
- Make sure admissions, discharges, transfers, and other clinical updates are documented accurately and on time.
- Track chart completion and confirm compliance with federal, state, and facility documentation standards.
- Protect confidential resident data and maintain HIPAA compliance at all times.
- Handle requests for medical records from residents, families, legal representatives, and healthcare professionals.
- Manage electronic health record systems and help resolve documentation or system-related issues.
- Work closely with nursing, therapy, social services, and administrative departments to meet documentation needs.
- Prepare audit materials, reports, and records for internal reviews and regulatory inspections.
- Help maintain survey readiness and respond to questions from state and federal agencies.
- Provide training and support to medical records staff when needed.
Required Background
- At least 2 years of experience in medical records or health information management, ideally in skilled nursing, post-acute care, or long-term care.
- Strong understanding of HIPAA rules, Medicare/Medicaid documentation expectations, and healthcare compliance requirements.
- Hands-on experience using electronic health record platforms.
- Comfortable using Microsoft Office tools.
- Strong organization, communication, and problem-solving abilities.
- Ability to juggle multiple priorities and meet deadlines in a busy healthcare setting.
Preferred Background
- Associate’s or bachelor’s degree in Health Information Management or a related discipline.
- RHIT, RHIA, or another comparable health information credential.
- Prior supervisory or leadership experience.
