Job description

Job Summary

This position supports the gathering of medical records and related documentation to assist quality improvement work. The role focuses on outreach to providers, collection of records for HEDIS-related data, audit support, and coordination efforts that help advance cost-effective member care.

What You'll Do

  • Contact provider offices by phone, fax, mail, electronic medical record systems, or in-person pickup to obtain medical records.
  • Enter medical records and provider reports into the HEDIS application.
  • Help coordinate the annual HEDIS audit and similar reviews by organizing outreach, follow-up, collection, and upload of records into the internal database.
  • Support leadership with project coordination by tracking, identifying, pursuing, and collecting records and other needed data alongside the HEDIS team.
  • Attend meetings with vendors connected to the medical records collection workflow.
  • Be available for occasional travel related to medical record collection.

Required Qualifications

  • At least 1 year of customer service experience, ideally in an administrative support role within a healthcare environment, or an equivalent mix of education and experience.
  • Valid, unrestricted driver's license, dependable transportation, and sufficient auto insurance for work-related travel.
  • Strong customer service skills and the ability to listen actively.
  • Comfort using data analysis tools such as Excel.
  • Ability to organize files, schedules, and information efficiently.
  • Capable of working effectively with staff, clinicians, and leaders.
  • Strong ability to prioritize tasks and pay close attention to detail.
  • Clear verbal and written communication skills, including professional phone handling.
  • Proficiency with Microsoft Office and related software, plus the ability to learn new systems quickly.

Preferred Background

  • Registered Health Information Technician (RHIT) credential.
  • Experience handling medical records collection.
  • Background in managed care.
  • Working knowledge of HEDIS and NCQA standards.
  • Experience with project planning.
