Role overview

This part-time Medical Records Assistant position is based onsite in Center, IN. The schedule is Mondays, Wednesdays, and Fridays, with 8-hour daytime shifts. Compensation is $19 to $20 per hour, depending on experience.

What you will do

  • Support the setup, coordination, and daily flow of the medical records department in line with facility policies and procedures.
  • Provide assistance to the Medical Records / Health Information Consultant when needed.
  • Build and maintain cooperative working relationships with colleagues across departments so resident records are kept accurate and up to date.
  • Pull and distribute resident charts in either paper or electronic form.
  • Enter documents such as nursing notes, resident assessments, progress notes, lab results, x-ray reports, and correspondence into resident files.
  • Collect resident charts, check them for completeness, and file them appropriately.
  • Return unfinished or incomplete records to the relevant team members or departments for correction.
  • Respond to phone questions related to medical records processes and functions.
  • Release medical records only to authorized people, including physicians, nurses, and government representatives.
  • Make sure any records removed from the department are properly checked out and checked back in.
  • Organize active and inactive records according to established filing rules.
  • Protect resident health information and promptly report any suspected or confirmed privacy breach to the Administrator.
  • Be prepared to work beyond standard hours, including weekends, holidays, other shifts, and emergency callback situations such as severe weather, evacuation, or post-disaster events.

Qualifications and skills

  • A high school diploma or GED is required at minimum.
  • Ability to type at least 45 words per minute and use dictation equipment.
  • Prior familiarity with medical terminology, anatomy and physiology, health information law, coding, and indexing is preferred but not mandatory.
  • Comfort working with computers, including data entry, data retrieval, and output processes.
  • Strong English reading, writing, speaking, and comprehension skills.
  • Good judgment and tact when dealing with staff, residents, visitors, and the public.
  • Ability to work independently with integrity, flexibility, and cooperation.

Physical and workplace requirements

  • Must be able to move around the workplace throughout the day.
  • Should be able to manage the mental and emotional demands of the role.
  • Must be able to push, pull, move, carry, and/or lift at least 25 pounds to a height of 5 feet and transport that weight for at least 50 feet.
