Role overview

This opportunity is for a Medical Receptionist at a medical centre in Dubai Silicon Oasis, Dubai, United Arab Emirates. The role is the first touchpoint for patients and visitors, creating a polished, friendly, and efficient front-desk experience. It combines reception duties, appointment coordination, patient registration, phone and email handling, billing assistance, and general administrative support within a cosmetic medical centre setting.

Front-desk and patient service duties

  • Welcome patients and guests with a courteous, professional approach.
  • Handle patient arrival and departure workflows smoothly.
  • Book, confirm, move, and cancel appointments for doctors and specialists.
  • Ensure patient details are registered correctly and medical records are kept up to date.
  • Respond to questions about treatments, services, pricing, and clinic rules.
  • Support patients in completing forms and other required paperwork.

Appointment and communication management

  • Receive and route incoming phone calls, emails, and online enquiries.
  • Maintain appointment schedules and use calendar management to support clinic productivity.
  • Issue appointment reminders and follow up when visits are missed.
  • Organize patient consultations and treatment sessions.

Billing and administrative support

  • Create invoices and process payments using approved payment methods.
  • Track daily cash receipts and maintain payment logs.
  • Liaise with insurance providers whenever required.
  • Prepare reports on appointments, patient traffic, and front-office activity.
  • Keep filing systems organized and ensure patient records remain current and securely stored.

Customer experience and compliance

  • Provide service that reflects premium cosmetic and aesthetic healthcare standards.
  • Handle patient concerns calmly and professionally, escalating issues when needed.
  • Protect patient privacy in line with DHA requirements and clinic policies.
  • Support compliance with Dubai Health Authority regulations and internal procedures.
  • Keep the reception and waiting areas clean, tidy, and well-organized.
  • Work closely with doctors, nurses, and management to ensure patient flow runs efficiently.
  • Assist with administrative tasks, special projects, and other duties assigned by the clinic.

Qualifications

The clinic is seeking candidates with a Bachelor’s degree or diploma in Business Administration, Healthcare Administration, Hospitality, or a related discipline. A background of 2 to 3 years in medical reception, clinic front office, or front desk coordination is preferred, especially in cosmetic, aesthetic, dermatology, plastic surgery, or general healthcare environments in the UAE. Familiarity with DHA procedures and healthcare administration practices is an advantage.

Preferred profile

Ideal candidates will have experience in cosmetic, aesthetic, dermatology, laser, or plastic surgery clinics. Strong client engagement and sales-oriented communication are valued, particularly the ability to promote clinic services and treatment packages. The preferred applicant should be presentable, patient-focused, and committed to delivering an excellent visitor experience.
