Position Overview
We are seeking a professional, organized, and empathetic Medical Receptionist to join our team. Acting as the primary contact for patients, this role is vital in ensuring a seamless and positive experience from the initial inquiry through ongoing care within the medical practice.
Key Responsibilities
- Greet and assist patients cordially and professionally.
- Respond to incoming calls, emails, and patient inquiries efficiently.
- Manage scheduling by booking, rescheduling, and confirming patient appointments.
- Register new patients and ensure all necessary documentation is accurately completed.
- Verify patient details and maintain precise electronic records.
- Support patients in filling out forms and collecting outstanding documents.
- Facilitate communication between patients, healthcare providers, and internal teams.
- Follow up with patients regarding appointments, documentation, and general queries.
- Maintain patient confidentiality following company policies and privacy laws.
- Oversee clinician calendars and manage appointment availabilities.
- Process referrals and update patient records as needed.
- Address patient concerns and escalate complex matters appropriately.
- Conduct general administrative functions such as filing, data entry, and document management.
- Consistently deliver a high level of customer service.
Candidate Requirements
- Prior experience in healthcare, medical administration, reception, customer service, or a patient-facing role is preferred.
- Exceptional verbal and written communication skills.
- Professional and confident telephone etiquette with strong rapport building skills.
- Able to multitask effectively, managing numerous calls, appointments, and administrative duties simultaneously.
- Excellent organizational skills and time management.
- Meticulous attention to detail and accuracy.
- Strong customer service orientation and problem-solving capabilities.
- Proficient in Microsoft Office (Word, Excel, Outlook) and adaptable to new technologies.
- Capable of working independently as well as collaboratively within a team.
- Compassionate, patient-centered approach coupled with professionalism.
- Ability to safeguard confidential information with discretion.
- Comfortable working in a fast-paced environment and handling shifting priorities.
Working Hours and Location
The role operates full-time, aligned with US hours from 9am to 5pm EST, functioning remotely.
