Position Summary
Under the overall guidance of the Chief Migration Health Officer and direct supervision of the Head of Clinic, the Medical Assistant will be primarily responsible for managing the call centre functions and other duties within the Migration Health Assessment Centre (MHAC) in Harare, Zimbabwe. This role demands adaptability to operate within either the call centre or reception/data processing units as necessary.
Key Responsibilities
- Coordinate and ensure smooth operation of the MHAC call centre activities.
- Provide telephone-based health assessment information and services to migrants.
- Register migrants into IOM databases; schedule and confirm medical appointments; communicate messages for medical staff and clients.
- Maintain master lists of migrants undergoing health assessments and distribute these to service providers.
- Compile daily statistics and update records pertinent to health assessments.
- Participate in managing customer satisfaction evaluations.
- Perform data processing tasks including applicant registration assistance, identity verification, data entry, capturing photographs via webcam, document printing, and handling medical forms.
- Receive, verify, and process medical documents from partner organizations ensuring quality control.
- Organize and package medical files for mobile health assessment missions when applicable.
- Send medical documentation via electronic or courier systems, ensuring accurate recipient addresses and notifying receiving parties with tracking information.
- Manage filing of all official correspondence and medical-related documentation.
- Copy and record proof of bank payments, coordinating submissions with administrative staff.
- Execute other related duties as assigned.
Required Qualifications and Experience
- University degree with a minimum of three years’ relevant work experience or secondary school diploma with at least five years’ pertinent experience.
- Certification in information technology or data entry is advantageous.
- Experience in data entry, information processing, or call centres, preferably within medical contexts.
- Minimum typing speed of 60 words per minute.
- Familiarity with data management conventions and principles.
- Customer care experience and skills.
- Proficiency in Windows operating systems and MS Office suite is mandatory; web design knowledge is beneficial.
- Understanding of medical terminology and previous experience with secretarial or archival roles is a plus.
- Previous employment in NGOs or international agencies is an advantage.
Skills and Competencies
- Intermediate proficiency in MS Office.

- Strong verbal and written communication skills.
- Efficient and accurate typing skills.
- Leadership qualities are desirable.
Language Requirements
Fluency in English, both written and spoken, is required. Language proficiency will be assessed during the selection process, including oral and written evaluations.

Additional Information
Offers are contingent on funding confirmation. The selection process may be utilized to recruit for similar roles at various locations for up to 24 months. Employment is conditional upon medical clearance, accreditation, applicable residency or visa requirements, and security clearance.
