Role overview

Medmark Occupational Healthcare is seeking a Medical Administrator to join a busy office-based administration team in Swords, County Dublin. The role supports the day-to-day running of medical administration and reception activities while helping maintain smooth service delivery for physicians, patients, and clients.

Key duties

  • Handle incoming calls and coordinate appointment bookings.
  • Process incoming and outgoing post and manage email enquiries and appointment requests.
  • Respond to client requests in a timely and professional manner.
  • Prepare letters, type reports, and record medical notes where required.
  • Organise off-site clinic schedules.
  • Support physicians by acting on their behalf and providing personal assistant support to medical staff.
  • Arrange referrals and handle billing for patients and third-party payers.
  • Maintain office files and patient records accurately.
  • Monitor office supplies, identify upcoming needs, place orders, and confirm deliveries.
  • Help keep office equipment working properly by following operating instructions, resolving minor issues, maintaining supplies, carrying out preventive maintenance, and arranging repairs when needed.
  • Work to maintain quality standards across administrative tasks.
  • Take ownership of additional requests and look for ways to improve the overall effectiveness of the role.
  • Cover reception responsibilities on a rotating basis.
  • Perform other duties assigned by management.

Candidate profile

The ideal candidate will have prior experience in a customer-facing position and strong administration capabilities. Experience in a healthcare setting is an advantage. The role also requires excellent attention to detail, solid IT ability, and strong working knowledge of Microsoft Office. You should be well organised, able to manage several priorities at once, and present a professional, approachable, and collaborative attitude.
