Role overview
AE Publications Ltd, the team behind Awesome Earthmovers Magazine and its social channels, is hiring a full-time Media & Publishing Admin Assistant. This is a hands-on role for someone with prior experience in media, publishing, magazines, advertising, content, marketing administration, or another B2B environment closely tied to content and client work.
The position sits at the centre of the business and supports the everyday running of the magazine, website, video production, advertising, and client administration. The company is a specialist media brand focused on construction, mining, demolition, and heavy equipment, and the team is small, so the ideal person will be organised, adaptable, and comfortable working closely with different colleagues.
What the role involves
You will handle a broad mix of administrative, publishing, sales support, and digital tasks. The work includes keeping projects moving, coordinating with clients and suppliers, and making sure content and production materials are ready on time for the company’s six-weekly magazine cycle.
- Managing daily business administration across the magazine, website, video, and advertising functions.
- Following up on advert copy, editorial copy, approvals, images, and client details.
- Preparing booking forms, quotations, and other client paperwork, and keeping documents organised for production.
- Supporting video shoots by coordinating with customers and videographers, arranging site visits, booking travel and accommodation, tracking deliverables, and storing completed video, photo, and copy assets.
- Maintaining the CRM with accurate records for accounts, leads, contacts, deals, and follow-up notes.
- Helping generate leads through Apollo and similar research tools, then entering them into the CRM for the sales team.
- Using Brevo to help build monthly newsletters and email campaigns.
- Assisting with website updates and turning press releases into SEO-friendly news features for the WordPress site.
- Providing wider support for publishing, sales, and production administration as needed.
What they are looking for
The company wants someone who already understands how a magazine, media, publishing, marketing, advertising, or other content-led business operates. Strong admin ability, accuracy, and the confidence to manage several tasks at once are important.
You should be comfortable using Microsoft Word, Excel or spreadsheets, and Outlook. Experience with CRM platforms, especially Monday CRM, is preferred. A working knowledge of Photoshop or Adobe Creative Suite would be a strong plus, as would an understanding of social media, website content, and basic SEO.
Good written communication, confidence when dealing with clients, suppliers, and internal team members, and a proactive, dependable work style are all important. An interest in construction, machinery, equipment, automotive, trade media, or B2B publishing would be especially useful.
Working pattern and offer
This is a full-time remote role, working five days per week from home. The salary is £26,000 per year.
The company provides a Mac computer, phone, and any other equipment needed for the role. Additional benefits include a workplace pension and paid annual leave. You will also have the chance to work in a growing specialist media business alongside a small, experienced team involved in magazine publishing, digital media, video production, events, and advertising.
