Job description
Overview and Reporting Structure
The role of Marketing Executive also encompasses responsibilities across Sales and Business Development, reporting directly to the Managing Director or Technical Director.
Key Responsibilities
- Client Engagement and Enquiry Generation: Actively initiate and generate new enquiries through personalized outreach such as introduction emails and conversations tailored to client challenges. Maintain ongoing strong relationships by visiting clients when necessary and providing technical support or solutions. Ensure continuous customer engagement by staying in contact during periods without active orders. Keep clients informed about company improvements and developments, and promptly communicate significant client updates or project awards to senior management.
- Enquiry and Quotation Handling: Consistently coordinate with internal teams to meet delivery deadlines. Proactively clarify technical or commercial queries quickly. Submit quotations within strict timelines: urgent or small enquiries within 2 hours, standard enquiries (less than 15 items) within 24 hours, and larger enquiries (over 15 items) within 48 hours. On receipt of enquiries, immediately communicate customer requirements to the Costing Division and secure third-party supplier cost information within 72 hours.
- Sales Conversion and Order Management: Aim to convert all submitted offers into confirmed orders with a minimum 60% conversion rate. Take the lead in negotiations to finalize contracts. Conduct comprehensive contract reviews covering both commercial and technical aspects prior to accepting orders. Follow established procedures to onboard new clients and prepare detailed internal Work Orders reflecting customer and technical specifications. Ensure quick transmission of order acknowledgments to customers.
- Dispatch, Documentation, and Financial Collection: Oversee all stages of order fulfillment to guarantee customer commitments are met. Manage logistics by acquiring necessary permits and transit documents on time to avoid dispatch delays. Dispatch a full set of shipping documents promptly to customers. Monitor financial transactions to ensure timely receipt of payments and manage the collection of statutory tax forms like 'C' Forms within designated deadlines.
- Quality, Compliance, and Team Management: Gather and handle customer feedback systematically, at least annually, aiming to address all complaints. Develop and enhance the skills of team members reporting to you, focusing on sales and marketing capabilities. Ensure strict adherence to and implementation of the Integrated Management System (IMS).
