About the Role
We are collaborating with a reputable and expanding wealth management and financial services firm seeking a Marketing Associate to join their team remotely. The role involves providing strong administrative support to advisors, streamlining operational workflows, and ensuring clients receive excellent service in a collaborative, professional setting.
Key Responsibilities
- Manage the firm's CRM system (Zoho), ensuring client data is accurate and up to date.
- Oversee CRM workflows, automation setups, and maintain data integrity.
- Discover opportunities within the CRM to enhance client engagement and support business development.
- Create and sustain monthly prospecting and activity performance reports.
- Document client meetings thoroughly and maintain complete client records.
- Perform accurate data entry while adhering to compliance standards.
- Collect and organize necessary documentation supporting client accounts and regulatory requirements.
- Prepare current policy illustrations and facilitate client reviews.
- Handle policy updates such as beneficiary changes, ownership transfers, and other servicing requests efficiently.
- Maintain precise records and ensure timely fulfillment of client requests.
- Manage advisors' calendars, proactively coordinating client appointments and preparing materials ahead of meetings.
- Evaluate and improve existing operational processes.
- Contribute to designing new workflows that boost efficiency and elevate client satisfaction.
- Support ongoing practice enhancements through continuous improvement initiatives.
Desired Qualifications and Skills
- Two to five years of experience in administrative or operational roles, preferably within financial services.
- Strong analytical abilities, organization skills, and problem-solving aptitude.
- Excellent communication skills, both spoken and written.
- Meticulous attention to detail with an ability to juggle multiple priorities.
- Post-secondary education such as a bachelor’s degree or college diploma is preferred.
- LLQP designation or progress towards it is an advantage.
- Familiarity with CRM tools and cloud-based technology platforms.
- Experience supporting financial advisors, insurance professionals, or wealth management personnel is highly regarded.
