Role overview

Our healthcare client in the New York City area is looking for a Manager of Administration on a contract basis lasting more than 5 months through the rest of the year. The role is full time and completely remote.

Schedule

This position follows a remote weekend night schedule: Saturday from 8:00 pm to 9:00 am, Sunday from 7:00 pm to 8:00 am, and Monday from 8:00 pm to 8:00 am. The consultant should be prepared to work holidays when needed because the service desk operates around the clock. All working hours must be aligned to Eastern Time.

Role summary

The Manager of Administration will handle technical and application support at level 2 for key functional areas, including clinical, business, financial, and infrastructure applications. The position calls for solid IT literacy and the ability to support multiple technology platforms and application environments.

Key duties

  • Build a clear understanding of how information moves through financial, business, clinical, and infrastructure systems.
  • Document issues and requests, investigate root causes, and work through troubleshooting steps.
  • Spot opportunities to improve processes and service quality.
  • Develop a strong understanding of essential business workflows that support EITS applications.
  • Help the enterprise service desk manage higher call volumes when required.
  • Receive, prioritize, log, and actively resolve end-user incidents and help requests.
  • Triage incidents and requests accurately, including transfers and escalations in line with service-level agreements.
  • Monitor open tickets, track progress against SLA targets, and close items once resolved.
  • Follow escalation and paging procedures to help ensure SLA commitments are met.
  • Provide support at levels 1 and 2, resolving as many user issues as possible.
  • Supervise and keep track of staff performance and activity.
  • Work with other department managers to prepare departmental budgets.
  • Coordinate departmental activities to ensure projects are completed on time and cost-effectively.
  • Prepare cost estimates for current and proposed projects, including equipment, labor, and machine-hour requirements.
  • Set, review, and enforce documentation standards, including the creation and control of forms.
  • Collect and analyze data and reports related to operations, working methods, staffing, space, and equipment use.
  • Review the daily quality of tickets.
  • Take on additional duties and special assignments as needed.

Requirements

  • A bachelor’s degree is strongly preferred.
  • At least 5 years of steadily increasing responsibility in administration, office management, methods analysis, systems analysis, documentation, or forms design and control.
  • Of those 5 years, 2 years must be in data processing and management information systems.
  • Working knowledge of computer and communications capabilities, EDP applications, systems analysis methods, data management, and information retrieval techniques.
  • Alternatively, an equivalent mix of education and relevant experience may be accepted.
