Role overview
This position supports the facility maintenance function by helping the Maintenance Manager, Maintenance Specialists, and Operations Maintenance Technicians handle the daily administrative and planning tasks that keep the department running smoothly. The role combines coordination, documentation, reporting, inventory oversight, vendor communication, and basic office administration.
Key duties
The Maintenance Planner handles work orders and purchase orders, coordinates with technicians and suppliers, supports contract and procurement administration, prepares reports from the CMMS, monitors spare parts and inventory movement, and keeps spending and safety records organised according to retention rules. The role also includes general office support such as filing, copying, faxing, and answering calls.
Responsibilities
- Prepare work order paperwork, route it for approval, and coordinate with technicians and vendors to close gaps through face-to-face, phone, fax, and email communication.
- Draft contract and purchase order documents for management sign-off, then follow up on deliveries and service completion while resolving supplier issues.
- Manage workflow tracking, data input, and information retrieval using the Computerized Maintenance Management System and tailored reports.
- Oversee spare-parts inventory, including physical handling, organisation, and barcode-based tracking.
- Research suitable vendors and compare pricing and quality to match departmental priorities and equipment criticality.
- Monitor spend against budget using contracting and payment records.
- Maintain files related to contracts, spending, and safety in line with retention procedures and policy requirements.
- Help onboard and orient new maintenance staff at the site and, when needed, across the region.
Requirements
- Completed technical or administrative apprenticeship.
- Practical experience in maintenance planning, ideally in a logistics environment involving material handling equipment.
- Good knowledge of maintenance processes, tools, and working methods.
- Working familiarity with CMMS platforms.
- Solid Microsoft Office skills, especially Excel and PowerPoint.
- Ability to understand and interpret technical documents.
- Strong analytical thinking and the ability to use data for decision-making.
- High attention to detail and accuracy.
- Capability to produce clear, concise reports and documentation.
- Understanding of safety rules and standards.
- Good command of German and English.
