Role Overview

As a Luxury Event Producer, you will lead the creation, planning, and seamless execution of high-profile, complex events. This role requires exceptional creativity, operational excellence, and strategic problem-solving to meet and exceed client expectations. You will work remotely with frequent travel (20-30%) required to oversee event delivery worldwide.

Key Responsibilities

  • Manage comprehensive project lifecycles from initial brief to on-site execution, ensuring scope and deliverables are met on complex, high-budget events.
  • Collaborate with colleagues and leadership in ideation, proposal development, production scheduling, and closing activities.
  • Develop creative event proposals and handle destination, venue, and vendor sourcing and negotiations.
  • Maintain thorough timelines, production schedules, and Runs of Show, delegating tasks to support team members as needed.
  • Oversee all event logistics including rooming blocks, transportation (ground, charter flights, helicopters), and arrival/departure coordination for clients and staff.
  • Handle event floorplans creation and manage communication with clients, guests, vendors, and internal teams.
  • Direct budget management, controlling expenses and revenue on programs between $250K and $5M+, including multi-currency budgets.
  • Source and contract venues and vendors, establish strong vendor relationships, negotiate pricing and terms, and manage vendor payments and final reconciliations.
  • Provide leadership in creative development including collaborating on proposals, vision boards, event collateral, and creative treatments using tools such as Canva.
  • Curate event gifts and ensure production integrity throughout event deliverables.
  • Maintain a positive, supportive role within the team and actively participate in meetings and creative brainstorming sessions.

Candidate Qualifications

  • Bachelor’s degree with 3-5+ years of full-cycle event production and account management experience, preferably in luxury sector or agency/contractor roles.
  • Demonstrated experience managing live events with budgets ranging from $1M to $5M or more.
  • Strong program management, organizational, negotiation, and communication skills.
  • Ability to perform effectively under pressure, handling multiple simultaneous projects and tight deadlines.
  • Technical knowledge of production logistics and hands-on experience managing complex budgets.
  • Excellent verbal and written communication and presentation skills.
  • Flexibility for frequent travel (~20-30%) and weekend work as required.
  • Proficiency with Canva, Google Docs, Square Space, and Social Tables/Prismm preferred.
