Role Summary

This is a full-time, on-site position in Nairobi County, Kenya. The person in this role will oversee everyday shipment coordination, including cargo bookings, consignment tracking, and ensuring goods are dispatched and delivered on schedule. The job also covers preparing and checking shipping and customs paperwork, working with customs authorities, shipping lines, freight forwarders, and other stakeholders to keep activities compliant with regulations. In addition, the role includes responding to client questions, sharing shipment progress updates, solving delays or operational challenges, maintaining system records, and helping improve processes and control costs across logistics operations.

Key Responsibilities

• Coordinate daily shipping activities, including cargo booking, consignment monitoring, dispatch planning, and delivery follow-up.
• Prepare, review, and validate shipping and customs documents to support accurate and compliant clearance processes.
• Communicate with customs officers, shipping lines, freight forwarders, and other partners to move consignments efficiently.
• Support compliance with customs and export requirements and address documentation or clearance issues as they arise.
• Handle client inquiries professionally and provide timely updates on shipment status and progress.
• Investigate and resolve delays, exceptions, and operational issues that affect shipment movement.
• Update internal tracking systems and maintain complete, accurate logistics records.
• Contribute to cost-saving efforts and process improvements within the logistics and supply chain function.

Qualifications and Requirements

• Excellent communication and customer service ability for dealing with clients, customs officials, and logistics partners.
• Strong analytical thinking to assess documents, interpret regulations, and troubleshoot clearance or shipment problems.
• Good understanding of supply chain management, including freight forwarding, warehousing, and transport coordination.
• Working knowledge of export procedures, customs rules, and international shipping documentation.
• A diploma or degree in Logistics, Supply Chain Management, International Trade, or a closely related area is preferred.
• Comfort using MS Office; exposure to logistics or ERP software will be an added advantage.
• Ability to perform accurately under pressure, with strong organization and attention to detail.
• Previous experience in logistics, shipping, or customs clearance in Kenya or the East African region is beneficial.
