Role Overview
This full-time permanent position is based in London, Ontario. The role involves providing administrative support to department staff while handling scheduling, reporting, billing, inventory coordination, and other office-related duties. The schedule includes weekend and night coverage, and flexibility for morning or afternoon shifts is required.
Shift Details
Weekend schedule: Friday, Saturday, and Sunday from 7:00 pm to 7:00 am, with 12-hour shifts. Night schedule: Monday to Friday from 12:00 am to 8:00 am. The successful candidate must be flexible to work weekends, mornings, or afternoons as needed.
Key Responsibilities
The position covers a mix of operational and administrative support tasks, including customer billing, report preparation, schedule coordination, inventory support, and workforce administration. The role also includes support for account setup and staff coordination.
- Prepare daily, weekly, and monthly customer billing submissions.
- Create custom reports based on client requirements and audit inbound and outbound reports.
- Handle routine office tasks such as ordering supplies, entering data, maintaining equipment, and managing vendor records.
- Build work schedules and maintain timecards and attendance records.
- Coordinate physical inventory counts and help resolve inventory discrepancies.
- Set up new WMS accounts, verify accuracy through testing, and troubleshoot related system issues.
- Support hiring, training, and performance management for direct reports.
- Organize staff meetings, training sessions, and company events.
- Carry out other assigned duties as needed.
Education and Experience
A high school diploma or GED is required. A bachelor's degree in a related field is preferred.

Compensation and Benefits
The role is salaried with a pay range of CAD 43,000 to CAD 45,000 per year. Additional compensation may be available depending on factors such as experience, education, location, market data, and internal pay structure. The role may also be eligible for an annual bonus, commission, and/or a long-term incentive plan.
