Role Overview

The Logistics and Inventory Management Officer (LIMO) role primarily involves managing recipient mobile phones—the main assets handled—along with other organizational assets and supplies. Reporting to the Field Administration Associate Manager, the incumbent will coordinate closely with both the ICT Associate Manager on IT-related inventory matters and the Operations & Procurement Manager on stock status, asset condition, and logistical risks. The role requires exceptional organizational skills, a commitment to safety, and proficiency in Google suite and inventory tracking tools.

Key Responsibilities

  • Manage receipt, storage, packaging, and dispatching of recipient phones and other GiveDirectly assets following standard operating procedures including verification steps.
  • Design and maintain the warehouse layout and storage systems to ensure secure and efficient storage and retrieval of phones.
  • Implement and uphold strict warehouse safety, security, and access control, focused especially on phone storage zones.
  • Ensure proper handling and storage conditions for phones and delicate equipment.
  • Monitor stock levels and reorder thresholds to avoid shortages or excess inventory.
  • Conduct periodic cycle counts and comprehensive physical inventory audits, participating in routine asset verification.
  • Maintain and update the asset inventory database using GiveDirectly's internal software tools.
  • Track counts of recipient phones and provide regular stock updates to the Operations & Procurement Manager and finance team.
  • Manage receiving, tagging, distribution, and retrieval of phones and other assets as per program cycles.
  • Coordinate repairs, maintenance, and condition checks for phones and related equipment.
  • Maintain insurance documentation for phones and valuable inventory in partnership with the Procurement and Administration Associate Manager.
  • Handle asset disposal following policy guidelines and manage claims related to lost or damaged assets.
  • Keep audit-ready records for all inventory and assets, prioritizing mobile phones.
  • Maintain functionality and servicing of office alarms, fire extinguishers, and first aid kits.
  • Assist in establishing new field office locations as needed.
  • Collaborate with ICT personnel and external IT consultants on equipment maintenance and repairs.
  • Track IT-related assets within the broader inventory and tagging systems.
  • Support initiatives ensuring reliable office internet connectivity and backup power.
  • Provide regular inventory, asset, and logistics reports to management, escalating any identified stock or logistics risks promptly.

Qualifications and Experience

  • Minimum two years’ experience in logistics, warehouse operations, or inventory management.
  • Possession of a diploma or higher qualification in a relevant discipline.
  • Familiarity with asset or inventory tracking software is advantageous.
  • Strong organizational abilities and meticulous attention to detail.
  • Excellent verbal and written communication skills.
  • Demonstrated ownership mindset and capacity for self-directed work.
  • Proficiency with office productivity software such as Microsoft Office and Google Suite.
  • Able to operate comfortably within a culture valuing direct and candid feedback.
  • Fluent in English is required.
