Job description
Role Overview
The Legal Services Administrator will be chiefly accountable for managing information requests from the Coroner. This encompasses logging, coordinating, and monitoring medical records requests, along with retrieving statements.
The position is central to providing exceptional support to the Legal Services team, focusing on claims and inquest matters, through comprehensive administrative assistance.
Key Responsibilities
- Deliver general administrative duties such as scanning, photocopying, filing, and archiving.
- Collate and prepare documentation needed for Coroner inquiries and respond accordingly.
- Request statements from staff, oversee their completion, and alert the Legal Services Manager of delays beyond deadlines.
- Maintain and update DATIX records, ensuring closure with all pertinent documents attached.
- Flag significant matters like potential adverse publicity, legal actions, or serious incidents to the Legal Services Manager promptly.
- Download necessary information from relevant websites or document systems as requested and file accurately.
- Record court appearances when necessary and assist staff attending court with pre-arranged advice and telephonic support.
- Prepare confidential reports and correspondence following Trust policies and protocols.
- Safeguard confidentiality relating to patients and personnel encountered in the course of duty.
- Provide administrative support for meetings, including booking rooms, sending invitations, and compiling notes before, during, and after sessions.
