About the Position
Adams & Martin Group is collaborating with a boutique law firm specializing in family law and civil litigation to find a skilled Legal Receptionist. This full-time remote role suits a highly organized and detail-focused individual who excels in a fast-paced legal setting, enjoys interacting with clients, and efficiently handles a high volume of calls while supporting attorneys and their teams.
Key Responsibilities
- Manage a large volume of incoming calls across several lines, routing them appropriately.
- Take detailed messages and notes, ensuring precise communication with legal staff and attorneys.
- Engage professionally with new and existing clients regarding their legal cases and conduct initial screenings.
- Be the primary contact point for callers, delivering excellent client service and making outbound calls on attorney behalf when required.
- Organize consultations, appointments, and meetings by maintaining multiple calendars and tracking important court dates, deadlines, and client correspondence.
- Provide reminders to attorneys and staff about upcoming events and preserve accurate contact and client databases.
- Support document preparation, correspondence drafting, digitize and file legal papers, assist in legal filings including e-filings, and conduct document summaries and research as requested.
- Maintain organized electronic client files, enter data into billing and case management systems, and assist with case information verification while maintaining confidentiality.
Candidate Requirements
- At least two years of receptionist experience, preferably in a legal environment.
- Exceptional organizational skills with an acute attention to detail.
- Ability to maintain professionalism and accuracy while managing a high call volume.
- Excellent communication skills both in writing and speaking.
- Proficient in scheduling and calendar management.
- Discreet handling of confidential information.
- Proficient with Microsoft Office Suite; legal software experience such as MyCase, RingCentral, or court filing systems is advantageous.
- High school diploma required; associate’s or bachelor’s degree is preferred.
- Proficiency in Mandarin and Cantonese is a plus.
