About the Role
Diaz Anselmo & Associates P.A. is looking for a highly organized and detail-oriented Administrative Assistant to join the Title/First Legal team. This essential role involves managing the mortgage documentation processes and title-related workflows to ensure timely and smooth operations alongside clients and internal teams.
Key Responsibilities
- Manage the full process of Assignments of Mortgage (AOM), from intake to final recordation.
- Coordinate and oversee the recording and tracking of critical documents like Lis Pendens and Title Order Instruments.
- Review and facilitate approval of legal descriptions, ensuring accurate submission to county and state authorities.
- Monitor production timelines for title schedules, follow up on pending files, and initiate title gap searches as necessary.
- Maintain up-to-date data in Perfect Practice and various client portals including ICE, Tempo, and ADR.
- Support the legal team by assembling and filing complaint and summons packages under tight deadlines, and assist Title Examiners and Legal Assistants with document retrieval.
- Manage the shared departmental email inbox with prompt and professional responses.
Candidate Qualifications
- 2 to 4 years of experience as a Legal Assistant or Paralegal, ideally with expertise in foreclosure, creditor rights, or real estate litigation.
- Strong skills in MS Office and familiarity with systems such as Perfect Practice, ICE, Tempo, or ADR are highly preferred.
- Exceptional attention to detail, ability to multitask effectively, and aptitude for meeting strict deadlines within a fast-paced environment.
- Minimum education: high school diploma; Associate’s or Bachelor’s degree is preferred.
Position Details
- Full-time role, Monday through Friday.
- Work is performed onsite at the Plantation, FL office.
