About the Role

A prestigious and quickly expanding alternative investment firm in the New York City area is seeking a seasoned Executive Assistant to provide robust support to senior members of its Legal team. The selected candidate will be polished, proactive, and capable of managing multiple priorities effectively in a fast-paced setting while working closely with various departments across the firm.

Key Responsibilities

  • Oversee and manage complex scheduling and calendars for multiple senior legal executives.
  • Arrange and coordinate meetings, conference calls, and logistics including securing conference rooms and setting up virtual meetings.
  • Prepare, revise, and disseminate meeting documents, presentations, and legal materials.
  • Provide administrative assistance related to legal, governance, and transactional procedures.
  • Maintain well-organized filing systems ensuring confidentiality and proper record-keeping.
  • Support compliance activities and onboarding administrative processes.
  • Collaborate cross-functionally with teams such as investment, operations, investor relations, HR, and legal departments.
  • Organize domestic and international travel arrangements for senior personnel.
  • Process and submit expense reports accurately and timely.
  • Engage in ad hoc projects and assist with team initiatives as needed.

Qualifications and Experience

  • At least 4 years of experience providing executive support, preferably in financial services, private equity, investment management, or legal departments.
  • Experience supporting senior executives or legal teams is highly desirable.
  • Bachelor’s degree is preferred but not mandatory.
  • Exceptional organizational skills and the ability to multitask efficiently.
  • Strong attention to detail with excellent follow-through capabilities.
  • Outstanding written and verbal communication skills.
  • Maintain a high level of discretion and professionalism when handling confidential information.
  • Advanced skill set in Microsoft Office applications, especially Outlook, PowerPoint, and Word.
  • Self-motivated with a proactive approach and solution-focused attitude.
  • Ability to flourish in a fast-moving and team-oriented environment.
