Position Overview
The Toronto office is seeking a Legal Assistant specializing in Employment & Labour within the Litigation & Dispute Resolution Department. This role involves supporting lawyers by managing routine legal and administrative tasks, such as preparing legal documentation and correspondence. Successful candidates will demonstrate strong initiative, excellent communication, and superior organizational skills, with the ability to independently oversee practice management tasks, ensuring seamless support for legal staff.
Key Duties
- Drafting agreements and legal documents from various instructions and established precedents.
- Compiling affidavits, motion records, factums, and authorities' books.
- Facilitating the service and submission of materials to courts, Ontario Labour Relations Board, and Human Rights Tribunal of Ontario.
- Preparing routine correspondence with proofreading and editing expertise.
- Managing docket entries and expense reports.
- Gathering client information and instructions for lawyers.
- Organizing lawyer schedules, opening files, arranging meetings, hearings, travel, and accommodations.
- Overseeing bring forward systems to keep lawyers informed about pending matters.
- Monitoring administrative functions to ensure accurate and timely task completion.
- Maintaining records related to lawyers’ and firm participation in events, organizations, and client development efforts.
- Providing assistance to other lawyers and team members as needed.
Required Qualifications and Skills
- Legal Administration diploma from a recognized college.
- A minimum of three years’ experience as a legal assistant, preferably in Employment and Labour litigation.
- Familiarity with Automated Civil Litigation (ACL) software.
- Understanding of court processes and knowledge of Human Rights Tribunal of Ontario rules.
- Experience with Ontario Labour Relations Board procedures and document filing.
- Proficiency in Microsoft Office 365, especially Word, Excel, and PowerPoint.
- Ability to work autonomously and collaboratively within a professional team.
- Excellent administrative, organizational, and communication skills.
- Capacity to handle multiple priorities under pressure while maintaining accuracy and attention to detail.
- Adaptability to changing priorities within a dynamic work environment.
- Commitment to embracing innovation and process improvements, including early adoption of new technologies.
Employment Details
This is a permanent full-time role requiring four days per week in the office.
