Role Overview

The Legal and Administration Assistant is a pivotal member of the Legal team, responsible for maintaining smooth operational functionality. This role supports various functions including finance, procurement, compliance, and legal administration on a full-time, 12-month fixed-term contract basis, with an option for candidates seeking part-time work of at least three days a week.

Key Responsibilities

  • Manage the complete invoice lifecycle, addressing payment questions, issuing purchase orders, and supporting supplier payment processes while maintaining supplier records.
  • Serve as primary liaison between Legal, Finance, Procurement teams, and external vendors concerning invoice and payment matters.
  • Create and update budget trackers, monitor legal expenditures against budgets, and assist with financial forecasting and monthly financial reporting activities.
  • Produce dashboards and reports for internal stakeholders, providing clear visibility on spending and budgets.
  • Oversee shared legal inboxes, including those related to the Digital Services Act (DSA), ensuring timely response and allocation of inquiries and notices.
  • Maintain filing systems, document repositories, and team trackers, ensuring proper archiving in line with company retention policies.
  • Assist contract execution and document management through platforms like SharePoint; coordinate courier services and manage secure handling of legal documentation.
  • Handle incoming legal and regulatory correspondence promptly, routing time-sensitive communications appropriately.
  • Support data protection and compliance tasks by managing privacy trackers, monitoring privacy assessments and contractual obligations, and processing erasure and data subject requests.
  • Collaborate with internal stakeholders regarding privacy requests, marketing preferences, and unsubscribe actions.
  • Generate regular reports and management information for Legal, IP, Compliance, and Privacy teams to aid performance tracking and decision-making.
  • Monitor team deadlines and deliverables while identifying potential improvements in workflows and processes.
  • Support onboarding activities, organize team events, coordinate meetings and training sessions, and advocate for Diversity, Equity, and Inclusion initiatives.

Qualifications and Skills

  • Proven background in legal operations, finance administration, business support, or a related area with prior experience supporting in-house legal, compliance, or governance teams preferred.
  • Strong skills in managing financial documentation including invoicing, purchase orders, and legal billing procedures.
  • Proficient in Excel with capability to craft detailed reports and management information for senior leadership.
  • Exceptional organizational skills and keen attention to detail, able to juggle multiple priorities in a dynamic environment.
  • Experience with platforms such as Dynamics and SharePoint or similar systems.
  • Excellent communication and stakeholder management skills, with a high level of integrity in managing confidential information.
  • Self-motivated, solution-oriented mindset with an eagerness to enhance operational processes.
  • Prior experience with data protection and compliance-related responsibilities is advantageous.
