Job Purpose
Under the guidance of the Senior Managing Counsel on the Great Minds Legal Team, the Legal Administrative Assistant manages the administrative, tracking, and coordination duties that underpin contract lifecycle processes. The position ensures routine contract requests are routed properly, maintains meticulous records in the contract management system, and escalates issues regarding contract terms or legal risks to Senior Paralegals. The role principally supports contract lifecycle administration.
Primary Responsibilities
- Maintain detailed contract tracking systems, alerting Senior Paralegals to impending signature deadlines, expiration dates, and other contract milestones.
- Prepare, format, and distribute contract documents and signature packets for approval and execution, adhering to standardized templates and procedures.
- Process certificate of insurance requests and standard vendor registrations by collecting necessary information and coordinating interactions with requesters and carriers.
- Keep the contract repository current by diligently filing executed contracts, amendments, and related documentation for ease of access and completeness.
- Assign and route new contract requests to the appropriate Senior Paralegal, and assist in retrieving executed documents as required.
- Gather administrative data and contract performance metrics to produce periodic reports for the Senior Managing Counsel.
- Coordinate meeting logistics, scheduling, and follow-up communications linked to contract processing and internal meetings.
- Regularly audit and update contract management system records to maintain accuracy and consistency in data entry.
- Conduct internal audits of contract documentation and generate summary reports for the legal team when requested.
- Provide additional administrative and organizational assistance to the wider legal team as necessary.
Candidate Requirements
- At least one year of experience in administrative or coordination capacities, preferably supporting legal, contract, or compliance departments.
- Proven ability to manage multiple tracking tools and meet deadlines with precision.
- Familiarity with contract management systems or comparable databases, with aptitude for rapid mastery of new technologies.
- Strong written and verbal communication skills alongside good judgment for escalating legal concerns appropriately.
