Job description
Role Overview
This NYC-based, on-site Administrative Assistant role supports attorneys at an international trade law firm with offices across the United States, Hong Kong, and China. The position combines day-to-day office administration with support for special programs, and it serves as a central contact for internal teams and external clients.
What You’ll Do
You will provide high-level administrative support to attorneys, help manage special projects and office operations, and use technology to improve workflows, organize data, and increase efficiency. The role calls for someone who can handle several priorities at once while maintaining a polished, professional approach.
Tools and Systems
The role requires hands-on experience with Salesforce, Excel, Power BI, PowerPoint, Word, Outlook, and other Windows-based applications.
Required Background
The firm is looking for someone with 2 to 3 years of experience in an administrative assistant role supporting multiple attorneys. A bachelor’s degree is preferred, though equivalent experience may also be considered. Experience in a fast-moving professional setting is strongly preferred.
Core Competencies
The right candidate will be highly organized, detail-focused, self-directed, and comfortable working under pressure. Strong communication, sound judgment, discretion, and the ability to learn new technology quickly are essential.
Additional Expectations
This position requires a high level of confidentiality, strong professionalism, and the ability to manage multiple assignments with limited supervision. The ideal candidate should be results-oriented, proactive, and capable of working both collaboratively and independently.
