About the Role
A respected international law firm is hiring a Legal Administrative Assistant to deliver advanced administrative and secretarial support to several attorneys. This hybrid role is suited to someone who is comfortable working in a team-oriented legal setting while managing schedules, drafting and organizing legal materials, coordinating travel, supporting billing, and communicating with clients.
Key Responsibilities
- Set up and coordinate client meetings, conference rooms, and online meeting logistics.
- Keep attorney calendars up to date and ensure scheduling is accurate through Outlook.
- Book both domestic and overseas travel, create itineraries, and handle travel reimbursement processing.
- Prepare, review, and format legal correspondence, documents, reports, and presentations.
- Store and manage matter-related files through iManage document management tools.
- Monitor attorney time entries and work with the Accounting team on billing details.
- Protect confidential legal and client information by handling it with care and professionalism.
- Support multiple attorneys and legal groups with day-to-day administrative needs.
- Help with document assembly, filing tasks, and records upkeep.
- Arrange audiovisual equipment, catering, and other meeting-related logistics as needed.
Requirements
- Previous administrative or secretarial work in a law firm or legal setting is required.
- A college degree or related college-level coursework is preferred.
- Excellent written and spoken communication skills.
- Strong planning, organization, and multitasking skills.
- Ability to manage private and sensitive information carefully.
- Comfort using Microsoft 365 tools such as Outlook, Word, Excel, and PowerPoint.
- Prior exposure to iManage document systems is an advantage.
- Experience with legal billing and time-entry platforms is preferred.
- Sharp attention to detail and the ability to work to deadlines in a busy environment.
