Role Overview
Due to ongoing expansion, Pallas Capital is looking for a highly organised and proactive Legal & Administration Assistant to join their Credit & Loan Management team based in Melbourne. This pivotal role supports the settlement and funding of an expanding commercial real estate loan portfolio by managing loan settlements, coordinating documentation, and collaborating with internal teams, solicitors, and borrowers to ensure precise and timely completion of transactions. The position requires full-time on-site attendance five days a week.
Key Responsibilities
- Oversee loan files from formal approval to settlement and funding alongside the Credit team.
- Coordinate and schedule settlements; prepare detailed checklists and supporting documents.
- Track outstanding conditions precedent and post-settlement requirements to meet funding deadlines.
- Carry out legal, company, and property-related searches as necessary.
- Maintain accurate and up-to-date records of loans, securities, settlements, and registers within internal systems.
- Monitor critical dates, legal document execution, and security registrations diligently.
- Manage alerts related to Equifax and title, as well as discharge documentation and consent requests.
- Assist with compliance documentation, audit preparation, and retention policies.
- Communicate effectively with internal stakeholders, external solicitors, and other parties to streamline settlement and loan administration processes.
- Provide administrative assistance to the Legal team, including managing correspondence, inbox tasks, and reporting.
Candidate Profile
- Possesses 2 to 5 years of experience in loan settlements, conveyancing, mortgage operations, legal support, or loan administration.
- Prior roles in legal assistance, settlements, lending, or administrative support are essential.
- Demonstrates a solid understanding of loan settlement procedures, with familiarity in PEXA considered advantageous.
- Exhibits exceptional attention to detail and accuracy handling legal, loan, and settlement paperwork.
- Strong communication skills and ability to manage stakeholders independently in a dynamic environment.
- Excellent organisation, administrative prowess, and time-management capabilities to meet deadlines.
- Proficient in Microsoft Office suite, notably with advanced Excel skills.
- Team-oriented with sound judgment, integrity, and the ability to maintain confidentiality.
