Role Overview
The Knowledge Management Specialist plays a pivotal role in centralizing internal knowledge, specifically focusing on gathering, curating, translating, and repackaging technical materials from program and DMEAL teams. This work accounts for around 60% of the role. The remaining 40% focuses on managing reporting processes as key knowledge assets, ensuring quality and accountability to donors and communities through coordinated report production.
Key Responsibilities
- Establish and maintain knowledge systems including SharePoint and Teams repositories, structured filing, version control, permissions, and security protocols.
- Develop templates and guidance to facilitate effortless content contributions from country teams.
- Create and manage an AI-powered knowledge hub for tagging, indexing, searching, and synthesizing content, ensuring responsible AI use with accuracy checks and clear data processing rules.
- Analyze knowledge products such as evaluations, monitoring data, and operational reviews to extract lessons and translate these into tailored outputs for diverse audiences including learning briefs, infographics, technical annexes, and leadership narratives.
- Lead communities of practice, organize learning events, and pilot innovative formats and facilitation techniques to enhance knowledge sharing.
- Support and coordinate with country office DMEAL staff and other managers to integrate monitoring and evaluation findings into organizational learning and knowledge systems.
- Manage the reporting calendar, track deadlines, anticipate risks, facilitate planning conversations, and ensure timely report submissions.
- Oversee a tiered report quality assurance process, employing checklists for narrative cohesion, data integrity, donor compliance, and financial inputs.
- Consolidate multi-country project reports, ensuring coherent yet context-sensitive synthesis.
- Collaborate with monitoring systems managers for data acquisition, verification, and analysis tailored to reporting needs.
- Provide differentiated reporting support and capacity building to country offices based on their reporting tier, including training, materials, and coaching.
Qualifications and Experience
- Master’s degree in Knowledge Management, Information Science, Development Studies, Communications, or related disciplines, or a Bachelor’s degree with significant relevant experience.
- At least six years of combined experience in knowledge management, organizational learning, and/or report writing within humanitarian or development sectors.
- Proven expertise with knowledge management systems such as SharePoint, Teams, and document filing structures.
- Experience leveraging AI tools for content organization with attention to data sensitivity and quality controls.
- Skilled in coordinating complex reporting processes in compliance with donor standards.
- Ability to synthesize complex data into various formats suited for different stakeholder audiences.
- Competence in descriptive data analysis and visualization.
- Facilitation experience in learning events and communities of practice.
- Strong writing and communication abilities, adequate for technical and non-technical audiences alike.
- Familiarity with humanitarian and development programming, with a preference for African operational contexts.
Technical Skills
- Deep understanding of knowledge management theories, methods, and digital tools.
- Proficient in SharePoint, Teams, and similar collaboration platforms.
- Experienced with document management best practices including filing systems, taxonomies, and version control.
- Competent in ethical AI application for knowledge and content management.
- Strong organizational skills and ability to juggle multiple deadlines efficiently.
- Experienced with data analysis and visualization software.
- Meticulous attention to detail and quality assurance skills.
- Knowledge of institutional donor reporting requirements such as USAID, EU, UN agencies, FCDO, and GAC.
- Comfortable facilitating diverse discussions involving technical and non-technical stakeholders.
- Capable of working autonomously across different time zones within a remote, matrixed structure.
Additional Information
Reports directly to the Director of Design, Monitoring, Evaluation, Accountability, and Learning (DMEAL). This position is fully remote, aligned with the GMT+2 time zone. The expected start date is September 1, 2026, or as soon as possible thereafter.
