Position Summary
Reporting to a Court Administrator or assigned supervisor, the Juvenile Court Clerk supports judicial and administrative processes for the court. Responsibilities include assisting visitors and callers, managing court documents, data entry into the case management system, handling mail, preparing court dockets, maintaining files, processing payments, and other supporting duties.
Essential Duties
- Greet and assist visitors and telephone callers, addressing inquiries, providing scheduling details, retrieving file information, and directing matters appropriately.
- Receive, log, and file legal documents; input data into automated case management systems.
- Maintain case files, ensure readiness for scheduled court actions, and handle copying and distributing documentation post-hearings.
- Manage hearing schedules and coordinate with external agencies, courts, attorneys, and involved parties.
- Perform database searches to verify information accuracy and keep records current.
- Distribute weekly court calendars and update automated schedulers with hearing details.
- Handle receipt of funds, ensuring accurate bookkeeping, depositing, and transmission of monies.
- Type various materials including receipts, forms, and correspondence.
- Manage outgoing mail and prepare files for retention or destruction through shredding and scanning; utilize microfilm equipment for archival retrieval.
- Order and maintain office supplies and ensure proper functioning of office machines like printers and copiers.
- Serve as a backup court recorder when needed.
- Perform additional duties assigned by supervisors.
Required Qualifications and Skills
- High school diploma or equivalent with at least two years of progressive clerical or administrative experience; alternative combinations of education and experience may be considered.
- Familiarity with general office procedures along with understanding of local, state, and federal court laws and regulations.
- Ability to quickly learn court-specific laws, procedures, and practices.
- Proficiency in maintaining accurate electronic records and delivering customer service.
- Competent in data assembly, filing, and conducting required notifications.
- Strong verbal and written communication abilities.
- Confidence in maintaining confidentiality related to court files and processes.
- Demonstrated professional integrity and respect when interacting with the public and court participants.
- Ability to develop effective working relationships and exercise sound judgment, initiative, and resourcefulness interacting with county staff, governmental representatives, and the public.
- Skilled in using standard office equipment and technology, including Microsoft Office applications and databases, with an aptitude for learning new software.
Physical and Work Environment Requirements
- Regular communication via in-person and telephone, ability to view small print, produce documents, and perform data entry with repetitive keystrokes.
- Mobility within office settings, including standing, sitting, stooping, kneeling, and manual dexterity for handling objects.
- Ability to lift or move items up to 15 pounds unassisted, with accommodations available as appropriate.
- Work environment is a standard office with noise generally quiet or moderate.
Compensation and Benefits
- This is a union position with a starting salary of $44,026 annually, progressing within a Grade 3 wage scale up to $52,549.
