Job Overview and Responsibilities

As a Junior Executive in Office Management, you will be essential in handling daily office operations to ensure a safe, efficient, and well-organized workplace. Your role includes managing workplace safety and health compliance, fire safety, sustainability programs, and contract administration to support SPL's smooth functioning.

  • Oversee all office management concerns and resolve issues promptly.
  • Maintain up-to-date records of office management contracts, coordinate renewals, and prepare related approval documents and memos.
  • Manage CCTV upkeep, facilitate annual power shutdowns, and process invoices timely.
  • Coordinate and distribute office management communications such as electronic direct mails, newsletters, and reminders.
  • Carry out workplace safety activities including risk assessments, gemba walks, and safety reviews.
  • Suggest and follow up on safety enhancements and corrective measures.
  • Lead sustainability efforts including staff training, environmental projects, and tracking sustainability metrics to meet green certification standards.
  • Perform fire safety management as a designated Fire Warden, organize fire drills, update the fire evacuation plan, and ensure compliance with relevant fire safety legislation.
  • Supervise reception operations to maintain professionalism and efficiency.
  • Administer door access systems and coordinate with colleagues on access requests, generating monthly compliance reports.
  • Support project execution related to office management improvements and other duties assigned by management, ensuring delivery within set timelines and standards.

Qualifications and Skills Required

  • A background or training in Business or a related field.
  • Between 1 to 2 years of experience in office management, facilities management, or a similar operational support role.
  • Excellent command of English, both written and spoken, capable of drafting clear memos, reports, newsletters, approval papers, and professional communications.
  • Knowledge of fire safety procedures, emergency evacuation planning, and responsibility as a Fire Warden.
  • Understanding of sustainability practices, green initiatives, and methods for tracking environmental data.
  • Experience with office operations, preventive maintenance, vendor coordination, and contract management.
  • Familiarity with safety technologies like CCTV systems and access control administration.
  • Skill in invoice processing with accuracy and promptness.
  • Proficiency in Microsoft Office suite including Word, Excel, PowerPoint, and Teams.
  • Excellent organizational skills combined with stakeholder management capabilities to juggle multiple operational tasks and deadlines.
  • Attention to detail, proactive approach, and a meticulous work ethic.
