Role Overview
This position is suited to someone who is highly organized and comfortable managing details across travel planning and coordination tasks. As an Itinerary Assistant, you will help build and maintain travel schedules, manage bookings, and support a seamless experience for clients, travelers, or internal teams.
Key Duties
- Create, organize, and update detailed travel plans, schedules, and trip arrangements.
- Arrange and coordinate flights, hotel stays, ground transport, meetings, and event-related bookings.
- Share itinerary changes, travel updates, and relevant information with clients and stakeholders.
- Support travel paperwork, booking confirmations, and record-keeping for reservations.
- Work with airlines, hotels, travel agencies, vendors, and other service partners.
- Track travel schedules and respond quickly to delays, changes, or scheduling conflicts.
- Keep precise records of bookings, travel plans, and related expenses.
- Assist with administrative and operational tasks tied to travel coordination.
- Provide support before travel, while trips are in progress, and after arrangements are completed.
- Maintain a high standard of service and accuracy throughout the planning process.
Requirements
- A diploma or bachelor’s degree in Tourism, Hospitality, Business Administration, Event Management, or a similar discipline.
- At least 1 to 3+ years of experience in travel coordination, itinerary planning, administration, customer service, or a related role.
- Strong planning, organization, and multitasking skills.
- Clear verbal and written communication, along with strong interpersonal abilities.
- Excellent accuracy and attention to detail.
- Comfort using Microsoft Office Suite and online booking systems.
- Ability to handle several schedules and deadlines at the same time.
- Good problem-solving ability and adaptability in changing situations.
- A proactive, customer-first approach.
Preferred Background
- Previous experience in travel agencies, hospitality, tourism, event management, or corporate travel settings.
- Exposure to booking systems, reservation tools, and itinerary management software.
- Understanding of international travel rules, visa processes, and travel documentation is an advantage.
- Experience managing group travel, business travel, or executive travel arrangements.
- Multilingual communication ability is a plus.
