Job description

Role Overview

A trading and mining company in Dubai is hiring a professional who can handle international commercial correspondence, manage sales and purchase contracts through to completion, and help protect the company’s email systems from fraud and unauthorized access.

Key Duties

  • Oversee the company’s official email inbox and reply to business communications in a professional manner.
  • Track sales and purchase agreements until execution is completed.
  • Coordinate with customers, suppliers, banks, shipping companies, laboratories, and international inspection firms.
  • Review contracts and commercial documents before they are approved or sent out.
  • Organize and archive emails, contracts, and digital records in a structured way.
  • Prepare regular management updates on the status of contracts and transactions.
  • Maintain strict confidentiality for all company information and documentation.

Email Security Responsibilities

  • Administer the official company email environment in line with strong security practices.
  • Manage user access permissions and enable multi-factor authentication (MFA).
  • Monitor SPF, DKIM, and DMARC records to protect the company domain from email spoofing.
  • Identify phishing attempts and business email compromise (BEC) attacks.
  • Independently verify any request to change bank details or payment instructions before approval.
  • Watch for suspicious activity or unauthorized login attempts and report them immediately.
  • Work with leadership to respond appropriately if any security incident occurs.

Required Background

  • At least 3 years of experience in international trade, commercial contract handling, or corporate email administration.
  • Advanced English communication skills, both written and spoken; Arabic is an advantage.
  • Hands-on experience drafting and managing international business correspondence.
  • Good understanding of import/export procedures, international shipping, and trade documents.
  • Experience using Microsoft 365 or Google Workspace.
  • Solid knowledge of information security basics and email security practices.
  • Highly organized, detail-oriented, and trustworthy with confidential matters.

Mandatory Requirement

Only candidates with proven practical experience protecting companies against email-based fraud will be considered. The applicant must be able to identify:

  • Emails pretending to be from clients or suppliers.
  • Fake requests to alter bank account details.
  • Phishing messages and social engineering attempts.
  • Fraudulent or lookalike domains.
  • Any scam targeting contracts or financial transfers.

The candidate must also have practical knowledge of setting up and maintaining SPF, DKIM, DMARC, and DNS records used for email services.

Selection Test

Shortlisted candidates will complete a practical assessment covering the following:

  • Reviewing a set of emails and distinguishing genuine messages from fraudulent ones, with an explanation for each decision.
  • Examining a sales agreement and commercial correspondence to spot errors or potential risks.
  • Writing professional English responses to business emails.
  • Demonstrating practical knowledge of email security fundamentals, including SPF, DKIM, DMARC, and protection against BEC attacks.

No candidate will be finalized unless the practical test is successfully passed.
