Overview
The Information Management Specialist plays a crucial role in executing and supporting the organization's information management strategy. This position involves defining, designing, and implementing information management processes, along with fulfilling both business and technical requirements. The scope covers a variety of domains including information architecture, metadata, master and reference data, business intelligence and data warehousing, records management, data quality, storage operations, security, and data privacy management.

Role Purpose
This role focuses on providing authoritative expertise and oversight in Records Management. It entails implementing records governance, standards, and controls aligned with legal, regulatory, and organizational directives. Ensuring proper management of records through their lifecycle while promoting effective information governance is essential. The incumbent will liaise with various stakeholders such as Information Owners, Risk, Compliance, Legal, Technology, and Business units to foster enterprise-wide best practices in records management.
Key Responsibilities
- Develop and embed records management frameworks, standards, procedures, and controls that meet compliance requirements.
- Manage records lifecycle activities including classification, retention, secure destruction, maintaining disposition evidence, and preparing audit documentation.
- Perform maturity evaluations, identify gaps in records management, and initiate remediation plans.
- Collaborate with business units to define records ownership, ensure accountability, and maintain compliance in processes and systems.
- Generate governance reports and insights for use by management committees, audit teams, and risk forums.
- Provide expert advice, deliver training, and support stakeholders to encourage consistent records management practices.
Candidate Profile
Qualifications and Experience: A degree or diploma in Information Management, Information Systems, Computer Science, Data Management, or related fields is required. Candidates should bring between 2 to 5 years of experience in roles related to information management, data governance, or records management.
Knowledge and Expertise: Understanding of records management principles, lifecycle management, standards, information risk, privacy, compliance, and modern digital records solutions is crucial.
Technical Proficiencies: Skills in records and information management, taxonomy design, electronic content and document management systems, stakeholder engagement, and policy development are expected.
