Job description
About the Role
TeamBuilder is a fast-scaling healthcare SaaS company focused on improving healthcare through technology. The company values innovation, customer success, and a collaborative, high-energy team environment. This position is fully remote, but applicants must live in the United States and be able to work primarily in EST hours.
This opening is for an early-career Implementation Project Coordinator who will help drive client implementations and keep the PMO running smoothly. You will work side by side with a Project Manager, taking ownership of coordination, administration, and follow-through across multiple client projects so that tasks stay organized and deadlines are met.
The role is designed as a growth path: you will begin by supporting implementation work, then gradually take on partial ownership of smaller initiatives, and eventually move toward full Project Manager responsibilities over time.
Project Execution and Administration
- Keep implementation plans current in Asana, including milestones, tasks, and dependencies.
- Organize meeting agendas, record notes, and send out summaries after discussions.
- Monitor action items and make sure follow-ups happen on time across all stakeholders.
- Maintain RAID tracking for risks, issues, actions, and dependencies.
- Prepare internal progress updates and project status reports.
- Ensure all project documentation remains complete, accurate, and up to date.
Client Coordination
- Manage client follow-up items and keep next steps moving forward.
- Track open deliverables and proactively check in on outstanding items.
- Assist with training coordination and completion monitoring.
- Maintain client-facing timelines and documentation.
- Draft clear client messages and implementation updates.
Implementation Support
- Watch project health, timelines, and potential risks closely.
- Gather risk items and assist with mitigation planning.
- Support cross-functional coordination with data, product, and customer success teams.
- Help prepare for end-user rollout communication and readiness.
Growth Path
- During the first 0–3 months, learn TeamBuilder’s implementation process and fully own administration, tracking, and coordination tasks.
- From 3–6 months, start leading smaller pieces of implementations such as workstreams, phases, or smaller clients.
- Between 6–12 months, move into independently managing smaller implementations end to end.
- After 12 months, take on more complex projects with greater autonomy.
How You Will Work
- Work closely with a Project Manager who will provide guidance, mentorship, and oversight.
- Free up the PM to focus on strategic leadership, client alignment, and risk management by handling execution details.
- Stay accountable and organized in a fast-paced environment that continues to evolve.
Experience and Background
Ideal candidates bring around 1–3 years of experience in SaaS implementation, onboarding, customer success, or project coordination. Experience in healthcare or healthcare technology is strongly preferred.
Core Strengths
You should be highly organized, detail-oriented, and able to juggle several priorities at once while consistently following through. Comfort with changing processes, independent working, and professional communication with clients is important for success in this role.
Mindset
The right person for this role is dependable, proactive, eager to learn, and motivated to grow into a Project Manager position. You should be able to balance detailed execution with broader business goals while contributing positively to team culture.
Additional Information
This is a full-time, exempt role. It is remote, but travel is required. Candidates must be based in the US and available to work EST hours.
Compensation includes paid time off, medical benefits, and the possibility of an annual performance bonus and/or equity. TeamBuilder describes its culture as collaborative, engaging, mission-driven, innovative, and strongly focused on customer success, while also valuing a fun and supportive team environment.
