Role overview

The Genetic Counseling Administrative Coordinator supports a genetics counseling team through project coordination, day-to-day administration, and collaboration across departments. The role helps move special initiatives forward, keeps patient registration running smoothly, and maintains accurate operational workflows within genetic counseling.

This position also handles administrative work tied to PGT-M cases, communicates with patients, clinics, and internal partners, and provides guidance on core processes such as enrollment, consent, billing, and laboratory-related workflows at a high level. In addition, the coordinator assists with inquiry triage, escalates complex issues, and contributes to data gathering and reporting.

Working alongside the Manager and the wider genetic counseling team, the coordinator supports administrative coordinators and genetic counselor assistants so service continuity and patient/client experience remain strong.

Responsibilities

  • Support special genetic counseling initiatives, including coordination of projects such as CooperInsights.
  • Enroll referred patients in the CooperInsights education platform and place them into the correct resource groups based on the test requisition form from the ordering clinician.
  • Track incoming work through shared inboxes and other assigned systems tied to CooperInsights.
  • Help the Manager and other team members collect information and complete project-related data requests.
  • Carry out administrative tasks for projects of varying complexity as assigned.
  • Handle administrative duties for the GC-waived workflow.
  • Perform low-complexity PGT-M cycle reviews.
  • Prepare and send PGT-M case notifications.
  • Respond to routine questions from partner clinics and internal teams about PGT cases, international and operational genetic counseling processes, and general company procedures such as enrollment, consent, billing, and basic laboratory testing workflows.
  • Reply promptly to messages from patients, clinics, and internal colleagues, resolving the issue or routing it appropriately.
  • Support clients and internal teams with higher-level questions related to laboratory operations, client services, and billing, and redirect questions to the correct department when needed.
  • Escalate patient and clinic concerns, complaints, and sensitive questions to the Manager and other relevant stakeholders.
  • Cross-train with administrative coordinators and genetic counselor assistants on their daily processes.
  • Provide backup support to administrative and assistant teams for clinic and patient service activities as needed.
  • Take on additional duties and projects approved by the Manager or Department Head.

Requirements

  • High school diploma is required; a bachelor’s degree is strongly preferred.
  • Applicants who are still working toward a degree may be considered if they demonstrate strong customer-service skills in a busy medical environment.
  • Willingness to complete a Genetic Counseling Assistant course after 6 months to 1 year of successful service, typically around the 1-year mark.
  • Previous experience in a genetics department is strongly preferred, including familiarity with basic interpretation of different types of genetic testing results.
  • Comfort using Word, Excel, PowerPoint, and Outlook; experience with SmartSheet and SharePoint is preferred.
  • Experience with a laboratory information system or electronic medical record system is desirable.
  • Willingness and ability to learn new technology and IT tools is essential.
  • Ability to deliver strong customer service through electronic communication and by phone.
  • Strong responsiveness to customer needs, with a focus on follow-through and meeting commitments.
  • Capability to manage several tasks at once.
  • Excellent attention to detail and strong verbal and written communication skills.
  • Professional, compassionate communication style with clients, physicians, patients, and coworkers.
  • Strong problem-solving ability, including the capacity to analyze information, develop alternatives, work through group problem-solving situations, and stay thoughtful when handling emotional topics.
  • Ability to work independently with minimal supervision and collaborate effectively in a team setting.
