About the Role

Lakeshore Talent is seeking a dedicated Human Resources Onboarding Specialist to support the daily operations for contractors across various client accounts. This position is crucial for managing high-volume onboarding processes, ensuring accurate record-keeping, fostering contractor relationships, and maintaining compliance and consistency. The ideal candidate is exceptionally organized, detail-focused, customer-centric, and possesses a strong background in staffing, HR operations, and workforce management systems. Excellent English and French communication skills are essential.

Key Responsibilities

  • Oversee the onboarding of new contractors by collecting and verifying all necessary legal documentation in accordance with client policies.
  • Confirm employment eligibility documents, including I-9 and E-Verify requirements where applicable.
  • Initiate, track, and evaluate background check reports.
  • Guide contractors through the completion of new hire paperwork and system configurations.
  • Monitor contractor assignments and manage time and expense submissions within Vendor Management Systems (VMS).
  • Maintain precise data across multiple systems to ensure the integrity of databases.
  • Track the progress of onboarding and proactively update internal and external stakeholders.
  • Collaborate with Client Services, Payroll, Compliance, and Implementation teams.
  • Monitor and report on outstanding documentation as per client specifications.
  • Maintain organized records and process documentation for each client account.
  • Provide continuous support to contractors throughout their assignments, including regular check-ins and relationship building.
  • Assist contractors with updating their personal or assignment details in relevant systems.
  • Generate and distribute regular reports, ensuring accuracy and audit readiness.
  • Support hiring managers by communicating relevant policies and procedures.
  • Ensure a high-quality experience for both contractors and clients.

Required Qualifications

  • Possession of a Bachelor's degree or equivalent professional experience.
  • Previous experience in staffing, workforce solutions, or HR operations.
  • Proficiency with HRIS systems.
  • Experience utilizing Vendor Management Systems (VMS) such as Fieldglass, Beeline, or comparable platforms.
  • Demonstrated experience in maintaining databases and managing contractor records.
  • Familiarity with CRM platforms; experience with Freshdesk is advantageous.
  • Experience working in a high-volume operational environment.
  • Aptitude for quickly learning and managing new technologies and multiple systems daily.

Additional Information

Candidates must reside in the MT or PT time zones. The work schedule is Monday to Friday, during typical business hours (8:00 am to 5:00 pm, Pacific time zone).
