Role Overview

Pro-Play Games is looking for a detail-oriented and self-driven Human Resources Events Associate to support HR and operations for its event management team. This role works closely with the HR & Operations Manager and contributes to event staffing coordination, contractor onboarding, payroll assistance, travel coordination, and day-to-day administrative support that keeps large events running smoothly.

The position supports a large network of event staff across conventions, tournaments, and major gaming events during the year. It blends HR administration, event operations, workforce coordination, and project support in a fast-moving setting. The right person will be comfortable juggling people-facing work with structured administrative tasks and will enjoy keeping multiple moving parts organized.

Location and Work Setup

This is a hybrid position and is available only to applicants who live in Florida. Most work can be completed remotely, but the role does require occasional in-person attendance for meetings, training, onboarding sessions, company events, or operational support, with advance notice.

The schedule is flexible and may shift according to academic commitments, event timing, availability, and business priorities. The company aims to work around student schedules whenever possible while still maintaining enough time for training, collaboration, and support.

Core Duties

  • Support contractor onboarding by coordinating paperwork, system access, and required setup steps.
  • Make sure agreements, tax documents, and event-related forms are finished before assignments begin.
  • Keep onboarding records current and help with offboarding when needed.
  • Assist with payroll preparation, including reviewing time records for event staff and contractors.
  • Help with payroll checks, missing hours, payment issues, and contractor questions.
  • Maintain accurate workforce records and support reporting needs.
  • Handle confidential employee and contractor files with care.
  • Support policy acknowledgments, compliance tracking, and training records.
  • Help with internal communication related to staffing and workforce processes.
  • Create and update SOPs, workflow guides, checklists, and process documents.
  • Contribute to process-improvement efforts that strengthen efficiency and scalability.
  • Develop resources that improve the event staff experience from onboarding through payroll.

Qualifications

Candidates should bring strong organization, sharp attention to detail, and the ability to communicate clearly in writing and verbally. The role requires managing several deadlines and projects at once while remaining comfortable working independently in a remote environment.

Professional judgment and discretion are important, as the position involves confidential information. Familiarity with spreadsheets, project management software, or workforce systems is helpful. Experience creating clear documentation, training materials, or process guides is also preferred. Interest in event operations, workforce coordination, human resources, or project management is an added advantage.
