Role Summary

The People & Culture team is hiring a temporary full-time HR Receptionist & Team Assistant for the period from July 17, 2026, to October 9, 2026. This is an entry-level opportunity suited to someone seeking experience in human resources or broader administrative work. The position must be performed on site five days per week.

What You Will Do

  • Serve as the first point of contact for visitors to the Human Resources department and handle incoming calls and inquiries.
  • Manage daily HR mailroom tasks, including sending outgoing mail and couriers, collecting mail, and distributing it across HR, Organizational Health, and Organizational Development.
  • Assist with bulk mailings such as mail merges, envelope stuffing, and related preparation.
  • Handle monthly Staples ordering, monitor supply levels, and replenish general office items such as paper, ink, envelopes, and labels.
  • Process the corporate Visa, including invoice collection, reconciliation, payments, and expense tracking.
  • Prepare payroll and timesheet support for the HR team using the shared HR calendar.
  • Produce recurring reports such as active employee lists, seniority lists for scheduling, and new hire/termination lists for communications.
  • Retrieve, archive, and file employee records as needed.
  • Update the Quality and Safety Board in the conference room each week.
  • Keep the department organized, tidy, and ready for visitors.
  • Monitor HR mailboxes and the HR Forms mailbox, and process routine requests such as employment letters and verifications, legal requests, personal information updates, employee referral bonuses, stay and exit interview tracking, resignations, and offboarding.
  • Support ad hoc HR activities, including contests and events.
  • Help the Wellness and Recognition committees with event administration.
  • Prepare bi-weekly and bi-annual seniority reports for staff scheduling.
  • Provide backup support to the Labour Relations Coordinator, including meeting minutes and employee meeting bookings.
  • Prepare references for former employees and mortgage employment confirmations.
  • Assist the Recruitment team by arranging interviews.

Education and Experience

A two-year diploma in Human Resources, Business Administration, or a related field is required, although an equivalent combination of education and experience may also be considered. A Certified Human Resources Professional designation would be an advantage. At least one year of related work experience is required, and experience in a unionized administrative environment is preferred.

Required Competencies

  • Working knowledge of collective agreements and labour relations processes.
  • Advanced Microsoft Office skills, especially Word and Excel, with working knowledge of PowerPoint, Access, and Outlook.
  • Typing speed of at least 50 words per minute.
  • Excellent organization and time-management ability.
  • Strong interpersonal and listening skills.
  • Professional judgment, tact, diplomacy, and a high level of confidentiality.
  • Ability to perform effectively in a fast-paced, changing, and demanding setting.
  • Willingness to adjust working hours occasionally when needed.
  • Comfort working independently and as part of a multidisciplinary team.
