Job description

Role overview

The HR Operations Specialist supports key HR priorities by combining project coordination with HRIS partnership. This position works where HR Operations and HRIS meet, helping deliver recurring HR programs, system-related initiatives, Workday improvements, reporting, dashboard creation, and broader process enhancement work across the HR function. The role suits someone who enjoys organizing project plans, coordinating across teams, understanding how HR processes connect with systems, and working closely with HRIS on requirement gathering, testing, process documentation, and Workday support.

Success in this position depends on strong organization, clear communication, attention to detail, and the ability to connect daily tasks to larger operational goals, system effects, and business needs.

Key duties

  • Plan and run HR projects, including annual recurring cycles and system-related work, by tracking timelines, dependencies, risks, and alignment across HR teams and connected systems.
  • Oversee the Workday enhancement flow through sprint planning and backlog management, working with stakeholders to set priorities, define scope and requirements, and map delivery timing.
  • Work closely with HRIS on system initiatives by collecting and checking requirements, coordinating testing, and documenting current and future business processes and workflows in Visio.
  • Review, rank, and help resolve HR Operations and Workday requests through Fresh service while keeping operational priorities, system impacts, and business needs in view.
  • Maintain documentation of current-state and future-state HR business processes in Visio.
  • Support change management efforts, including communications, training, and readiness planning.
  • Spot opportunities to improve HR workflows, operational processes, and Workday usage, then help implement those improvements across HR Operations and Workday.
  • Create and present reports, dashboards, and operational insights using Smartsheet and related tools to give stakeholders and leaders visibility into project status, risks, results, and key metrics.
  • Support Workday operations, including EIB data loads, and assist with internal and external audit requests such as system walkthroughs, evidence gathering, and Kainos-related support.
