Position Summary
The HR Onboarding Specialist manages the entire onboarding process for Moffitt employees and Non-Employed Moffitt Personnel (NEMP), ensuring full compliance with HR policies. Serving as the primary liaison from hire through orientation, this specialist maintains clear, ongoing communication with candidates, recruiters, and hiring managers. The role may also handle onboarding and screening for various NEMP groups and individuals affiliated with the Office of Clinical Education (OCE).
Key Responsibilities
- Initiate onboarding activities and schedule appointments, including coordination with Occupational Health for updates and remote lab services.
- Conduct onboarding sessions for new hires.
- Utilize HRIS platforms to capture data, monitor onboarding progress, and generate reports, working closely with recruiting teams and managers to ensure timelines are met.
- Collaborate with cross-departmental teams to guarantee badge creation, IT access, and secure orientation attendance and facility entry exclusively for cleared personnel.
- Manage compliance tasks such as verifying licensure via primary sources, handling I-9 documentation and submissions through third-party vendors, and reviewing background checks with appropriate candidate disposition.
- Stay informed about evolving HR laws and regulations, advocating and implementing necessary policy and procedure updates.
- For NEMP/Research/OCE: Oversee agreements and certificate of insurance maintenance for affiliated academic institutions, in partnership with General Counsel.
- Coordinate contract compliance and IT access for NEMP onboarding in line with agency-specific agreements.
- Facilitate research collaborations by connecting with Oncology Networks and General Counsel to register scholarly visitors, ensure visa appropriateness for international participants, and provide check-in oversight.
- Maintain roles, reporting structures, and IT access documentation for NEMP within HRIS to support automated onboarding processes.
- Perform additional duties as assigned.
Qualifications
- High School diploma or GED is required.
- A minimum of five years in business operational support roles.
Compensation
The expected salary range for this position is $22.19 to $33.83 per hour, subject to variation based on location, expertise, qualifications, and internal equity. Moffitt is dedicated to equitable pay practices and routinely reviews compensation to maintain workforce fairness.
