Job Purpose
This part-time role is designed to assist in delivering excellent Human Resources services to the College, focusing on recruitment coordination, HR system management, reporting, policy support, and responding to employee inquiries. Working alongside another part-time HR administrator, the role is essential to maintaining efficient, compliant, and employee-centered HR operations.
Key Responsibilities
- Assist in recruitment operations including job description preparation, posting adverts, candidate communication, organizing interview panels, managing the HR Information System (HR Locker), and handling employment contracts and recruitment correspondence.
- Administer the HR mailbox (hr@icgp.ie), ensuring all internal and external HR-related questions are answered promptly, professionally, and efficiently.
- Support the Workplace Operations team by providing reception assistance during absences to maintain uninterrupted service.
- Serve as an HR Locker super user, ensuring accurate and timely updates for all employee and candidate records such as leave tracking.
- Help generate diverse HR reports including leave balances, turnover, headcount demographics, and service length statistics using HR Locker.
- Contribute to the ongoing review and update of HR policies, ensuring the Employee Handbook and HR intranet content remain current and accurate.
- Engage in HR initiatives by staying updated on sector developments and actively participating in team activities and projects.
- Collaborate with HR colleagues on various HR projects and participate in wider College events and programs.
Candidate Profile
The successful applicant will possess a mix of relevant educational qualifications, work experience, and personal attributes.
Essential Qualifications and Experience
- Third-level qualification in Human Resources Management, Business, Administration, or a related field, or equivalent experience.
- At least 2 to 3 years working in an HR administrative or support capacity.
- Experience in recruitment support and onboarding processes.
- Ability to juggle multiple priorities efficiently within a team-oriented, fast-paced environment.
- Keen attention to detail with a strong focus on data accuracy and recordkeeping.
- Good command of Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.
- Basic knowledge of HR procedures and industry best practices.
