About the Role

The HR Administrator will support the complete employee journey through efficient, accurate, and compliant HR administration. This role helps ensure a smooth experience for employees from joining through to leaving, while also supporting the wider HR function in a busy, expanding environment.

Key Responsibilities

  • Prepare and issue joining and exit paperwork, including contracts, offer documents, job descriptions, new starter forms, resignation acknowledgements, and related documentation.
  • Arrange and complete reference checks in accordance with company rules and local legal requirements.
  • Submit, follow up, and monitor IT access and equipment requests for new employees.
  • Set up and coordinate induction plans with managers and other teams to support a seamless onboarding process.
  • Manage exit interviews, record feedback appropriately, and ensure employee status updates are completed accurately and on time in HR systems.
  • Draft letters for pay changes, promotions, and job changes based on approvals and governance requirements, and issue standard employment letters and salary certificates.
  • Administer probation review activities, including reminders, documentation, and record maintenance.
  • Support leave administration for maternity, paternity, parent’s leave, and other statutory or company-approved leave types.
  • Record and track sick leave accurately in line with policy and local employment rules.
  • Serve as the first point of contact for HR administration queries from employees and managers, escalating issues when needed.
  • Keep employee records current and accurate across HR systems and personnel files.
  • Assist with HR audits, reporting, and compliance work by keeping documentation complete, organised, and accessible.
  • Help improve HR administration processes, templates, and workflows for greater efficiency and consistency.
  • Support payroll activity by maintaining accurate employee data, preparing payroll-related documents, and coordinating with payroll providers where required.
  • Carry out HR processes in line with employment legislation, data protection obligations, and internal policies, while maintaining controls, accurate records, and prompt escalation of compliance risks, data breaches, or policy exceptions under the company’s ISO 37301-aligned Compliance Management System.

IMS Responsibilities

  • Follow the Employee Handbook, Group Code of Conduct, Group Compliance Policy, IMS Policy, and all other relevant company procedures.
  • Understand how the role contributes to the Integrated Management System, including Quality, Health & Safety, Environmental, and Product Compliance objectives.
  • Report unsafe actions, unsafe conditions, incidents, injuries, quality concerns, and compliance issues to the relevant person without delay.
  • Take part in required training, audits, and continuous improvement activities.

Skills & Experience

The role requires prior experience in HR administration or HR support. Candidates should be comfortable using HR systems and Microsoft Office tools such as Word, Excel, and Outlook, and should bring a service-focused, team-oriented approach.
