Job description

Role Overview

The Healthcare Scheduler will collaborate closely with the Client Care Manager to support and expand the operational area within the organisation. This role aims to assist in achieving company goals while upholding high standards of service quality as outlined in the Quality Assurance Policy.

Key Responsibilities

  • Assist in coordinating with Care Managers, HSE, prospective service users, next of kin, health professionals, and other relevant agencies involved in service training and development.
  • Address daily inquiries from Care Assistants promptly and efficiently.
  • Manage the increase of service hours by handling new package requests from both HSE and private sectors.
  • Upload and maintain carer rosters and client templates biweekly.
  • Maintain complete oversight and accountability for scheduling rotas.
  • Monitor client care calls, including tracking missed or late visits.
  • Accurately complete timesheets on a daily basis.
  • Identify growth opportunities and communicate staffing needs to recruitment personnel.
  • Work closely with the Client Care Manager to align operational goals.
  • Deliver high-level customer service when responding to calls from clients, Client Care Managers, and carers.
  • Develop strong collaborative relationships internally and externally, including with recruitment, compliance teams, and stakeholders within assigned CHO geography.
  • Prepare comprehensive management reports detailing staff capacity, run efficiencies, and quality assessments on a weekly, monthly, quarterly, and annual schedule.
  • Maintain a daily on-call log of concerns or issues and liaise with appropriate personnel.
  • Establish contingency plans and manage risks effectively.
  • Keep accurate, coherent records of client and carer concerns within internal systems and report accordingly.
  • Answer incoming calls professionally, providing knowledgeable and courteous service.
  • Adapt and grow within the role to meet demands of a dynamic, fast-growing business.
  • Perform additional duties as necessary to fulfill company responsibilities.
