Role Overview
This role supports the back-office operations of a growing mental health practice group. It offers flexibility to work remotely while requiring in-office presence at the Bethesda, MD location at least two days each week.
The main focus is on tracking billing issues that have been escalated beyond the normal billing process, then following through until each matter is resolved or properly handed off. The billing team handles the core billing work; this position helps keep unresolved items moving by checking on status, identifying delays, organizing reports, and making sure next steps are clearly documented.
The ideal candidate brings strong organization, dependability, comfort with spreadsheets and data, and the ability to work with minimal supervision while taking full ownership of assigned work.
Key Responsibilities
- Keep an eye on billing and account matters that remain open after the standard billing workflow has been used.
- Check in with the billing team, internal staff, vendors, or leadership when accounts need follow-up.
- Maintain clear records for each escalated item, including current status, next action, responsible owner, and follow-up date.
- Spot accounts where follow-up looks late, incomplete, or unclear.
- Review reports for old balances, denied claims, coordination-of-benefits issues, unresolved patient balances, and missing follow-up.
- Update trackers for open items, overdue follow-ups, and unresolved issues.
- Verify that required billing outreach has been completed through approved systems and workflows.
- Create payroll support reports for leadership review.
- Monitor activity in business systems, spreadsheets, and related tools.
- Assist with opening new locations by tracking setup tasks, deadlines, owners, and outstanding items.
- Follow up on assigned tasks with internal teams, billing partners, vendors, and leaders.
- Escalate delayed, incomplete, or ambiguous items to the right person.
- Prepare straightforward status summaries and data reports for leadership.

Compensation
The base pay is $45,000 per year, and there is eligibility for performance-based bonuses of up to $3,000 annually. Bonus eligibility depends on meeting defined performance measures tied to report accuracy, timely follow-up, issue tracking, escalation handling, payroll report support, and completion of assigned operations work.
