Job description

Role Overview

This position supports the operational backbone of a growing outpatient mental health practice group. It combines remote flexibility with an expectation to be on site in Bethesda, Maryland at least two days each week.

The main focus is handling escalated billing and account concerns that have not been resolved through the normal billing workflow. The role helps ensure issues are tracked, followed up on, and moved toward closure so clinicians, patients, and internal teams have a clearer process for resolving billing questions.

Core Duties

  • Keep watch over billing and account items that have moved beyond standard handling and require escalation.
  • Check in with billing staff, internal teams, vendors, and leadership on unresolved matters.
  • Maintain clear records showing each issue’s status, next action, responsible owner, and follow-up timeline.
  • Spot cases where billing follow-up is stalled, incomplete, or not clearly documented.
  • Review reports to identify old balances, claim denials, COB issues, unresolved patient balances, and missing follow-up activity.
  • Update trackers for active items, overdue follow-ups, and unresolved concerns.
  • Confirm that required outreach steps have been completed through approved systems and workflows.
  • Prepare payroll support reports for leadership review.
  • Monitor workflow activity inside business systems, spreadsheets, and related tools.
  • Assist with onboarding new locations by tracking setup tasks, owners, deadlines, and open items.
  • Escalate delayed, unclear, or incomplete work to the right person or team.
  • Create concise status updates, summaries, and data reports for leadership.

Candidate Profile

The ideal candidate is highly organized, dependable, comfortable handling data, and confident working independently. Strong Excel skills, attention to detail, and the ability to own assigned work through completion are especially important.

This person should be comfortable juggling spreadsheets, trackers, reports, and task lists across multiple systems, while keeping communication clear and professional.

Required and Preferred Experience

  • Solid ability to work with Excel and analyze data.
  • Strong eye for detail and accurate recordkeeping.
  • Self-motivated and capable of working with minimal supervision.
  • Demonstrated follow-through and personal ownership of assignments.
  • Comfort working with open items without needing repeated reminders.
  • Experience using spreadsheets, reports, trackers, and task management tools.
  • Clear written communication skills.
  • Reliable, organized, and able to handle multiple workstreams.
  • Comfortable navigating several systems at once.
  • Ability to commute to the Bethesda, Maryland office on a weekly basis.
  • Background in mental health practice operations is preferred.
  • Experience in healthcare, billing, revenue cycle, payroll, or operations is preferred.
  • Helpful experience includes support for mental health practice operations, healthcare administration, medical billing, revenue cycle work, payroll reporting, compensation tracking, Excel, Valant, EMRs, CRMs, and multi-location operations.

Growth Path

This role offers advancement potential. After six months, candidates who show strong results, independent ownership, and the ability to manage workflows with limited oversight may be considered for a manager-level position.

Compensation and Bonus Details

The base salary is $45,000 per year, and the role may earn performance-based bonuses of up to $3,000 annually. Bonus eligibility depends on defined performance measures tied to report accuracy, timely follow-up, issue tracking, escalation management, payroll report support, and completion of assigned operations work.

A compensation note in the listing also states $48,000 per year.
