Role Overview

The organization is hiring one healthcare administrator to support an integrated clinic in downtown Toronto’s financial district. The clinic offers a wide mix of services, including aesthetic treatments such as Botox and fillers, family medicine, walk-in care, specialist medicine, chiropractic, physiotherapy, massage therapy, naturopathy, psychotherapy, osteopathy, and other related services. The right candidate will be customer-focused, upbeat, and comfortable working in a busy, fast-moving setting with room for growth.

Core Duties

  • Provide courteous, high-quality front-desk and patient support while working closely with the rest of the team.
  • Communicate professionally at all times, both verbally and in writing.
  • Keep patient service at the center of all interactions and handle requests with care.
  • Manage multiple tasks efficiently and prioritize work in a busy clinic environment.
  • Answer incoming calls on the main line and route them appropriately while delivering strong customer service.
  • Schedule appointments quickly and accurately using the clinic’s booking system.
  • Coordinate patient consultations, tests, and other booking requirements.
  • Assist with patient check-out, payment processing, and rebooking follow-ups.
  • Reply to patient emails and other routine communications.
  • Carry out administrative tasks such as faxing, scanning, handling medical messages, and arranging bookings for both medical and non-medical schedules.
  • Complete additional tasks as needed by management.

What the Employer Is Looking For

  • Ability to work effectively in a team-based setting.
  • Strong spoken and written English communication skills.
  • Excellent customer service mindset.
  • Experience in a medical or healthcare environment is preferred.
  • Exposure to Telus PS Suite EMR will be considered an advantage.
  • Experience with Jane App EMR will be considered an advantage.
  • Interest in or experience with aesthetic and cosmetic medicine is important.
  • Ability to stay organized while handling several responsibilities at once.
