Role summary
The Head of Operations will own the company’s operational function from end to end. The position spans people and talent operations, finance and administration, and coordination across regions and business units. The goal is to design and improve a global operating model that keeps work aligned across locations, supports steady day-to-day execution, and enables product development, market growth, and team scaling. Strong English and Chinese communication skills are required to connect distributed teams and international stakeholders effectively.
People and talent operations
- Set up, refine, and scale global talent operations and HR processes suited to AI-focused business needs.
- Manage the full employee lifecycle, including hiring, onboarding, performance reviews, learning and development, rewards, and retention.
- Lead office team building and senior AI hiring efforts.
- Improve organizational efficiency and company culture while providing data-based recommendations on talent strategy.
Finance and administrative operations
- Oversee everyday finance and administration for the Sunnyvale office.
- Create structured processes for budgeting, spending approvals, cost management, and financial reconciliation.
- Handle office assets, vendor relationships, facility upkeep, and routine administrative tasks to keep operations smooth, compliant, and cost-effective.
Cross-border business alignment
- Use bilingual communication skills to coordinate between the US team, global headquarters, and overseas partners.
- Align business plans, project timelines, resource allocation, and operating standards across regions.
- Remove blockers in cross-regional collaboration and improve international operating workflows.
- Support reliable execution of global business initiatives.
Global operating system improvement
- Build scalable, standardized operating systems designed for a fast-growing AI software company.
- Map and review workflows across all operational areas.
- Identify risks in operations and implement ongoing improvement measures.
Strategic operations leadership
- Support senior leadership in defining overall operational priorities and annual plans.
- Drive execution, monitoring, evaluation, and continuous refinement of operational programs.
- Help raise the company’s operating efficiency and management discipline.
Requirements
- Bachelor’s degree or higher; backgrounds in Business Administration, Operations Management, Finance, Human Resource Management, or similar areas are preferred.
- At least 5 years of senior-level operations management experience.
- Experience in internet, AI software, technology startups, or cross-border business operations is strongly preferred.
- Fluency in spoken and written English and Mandarin, including the ability to communicate, negotiate, and draft documents without language barriers.
- Hands-on experience in people/talent operations and finance/administration operations, with familiarity in US business operations and cross-border collaboration practices.
- Strong coordination, analytical, and problem-solving abilities across teams and regions.
- Strategic thinking, structured problem-solving, and the ability to independently build and improve systems and processes.
- Self-driven attitude, strong accountability, resilience under pressure, and comfort working in a fast-moving AI environment.
- Knowledge of the local talent market, business operations, and relevant industry networks is an added advantage.

The role is based in the San Francisco Bay Area and is onsite. The company is looking for someone who can support both local US operations and global collaboration for its expanding AI business.
