Role overview

Tredegar Medical Practice is looking for a GP Receptionist / Administrator to join the practice team on a fixed-term basis until 31 May 2027, helping cover service needs. This position is part of the wider Aneurin Bevan University Health Board, supporting a multidisciplinary team and contributing to the day-to-day running of the practice.

The role sits at the front line of patient contact and administration. You will welcome and guide patients, manage appointments, handle personal information, respond to enquiries, and help ensure information reaches the right clinical or external teams quickly and accurately.

The ability to speak Welsh is an advantage for this post, and applications are welcome from Welsh and English speakers alike.

Main duties

  • Keep the practice appointment system running smoothly and monitor it throughout the day.
  • Handle appointment requests received in person, by phone, and through electronic channels.
  • Answer incoming calls, deal with queries appropriately, and escalate issues where needed.
  • Direct patients to the most suitable service or next step.
  • Act as a first point of contact for patients, staff, and external organisations.
  • Pass messages, information, and requests to the clinical team and liaise with agencies such as secondary care and community services.
  • Arrange patient appointments and support general patient administration.
  • Process personal information with care and accuracy.

Knowledge and experience

The successful candidate should have practical understanding of administrative systems, patient information and admissions systems, office procedures, and data entry methods gained through on-the-job training. A customer-facing background is important, along with strong interpersonal and communication skills.

Applicants should be comfortable working accurately, paying close attention to detail, handling correspondence, and managing appointments. The ability to work independently, stay self-motivated, perform well under pressure, and contribute effectively to a team is essential.

Desirable experience includes working with GP clinical systems, prior employment in a healthcare environment, familiarity with medical terminology, knowledge of patient confidentiality practices, and strong organisational skills with the ability to prioritise tasks and meet deadlines. Welsh language skills at levels 1 to 5 across understanding, speaking, reading, and writing are also desirable.
